Content

The beginning of use by "Merkator-holding" of The First BPM Form system — January, 2017.

System Selection

According to the results of the held meetings and the presentations First Form was selected from several systems. Its friendly interface became a decisive factor – as managers are strongly loaded, they did not want to spend time for studying of new difficult programs and therefore they looked for a system in which work with it would be intuitive.

The first stage

At the first stage works on automation of process of approval of agreements were performed. Implementation started in August, 2016, and in October process of approval of agreements was already brought into operation in all 10 divisions.

The holding makes and sells the road and construction equipment which is completed with the additional hinged hardware upon the demand of the specific customer. On average in a month 64 delivery agreements of the equipment are signed. From 5 to 15 employees from different divisions participate in approval of each agreement. Within implementation of First Form completely "paper" process was automated with preserving of different routes of approval. As a result on preparation of each agreement about 4.5 working hours of employees are saved.

Besides, work with tenders for delivery of the equipment and component parts or on rendering services in which Merkator-Holding is going to participate was automated.

In addition to the web interface, for processing of the requested signatures and pronouncement of resolutions heads use mobile application of First Form.

The second stage

At the second stage works on implementation and completion of CRM were performed.

The following processes were automated:

  • Customer relations;
  • Full stroke of conducting sale;
  • Integration with process of approval of agreements;
  • Accounting of primary documents and originals of agreements;
  • Carrying out marketing efforts and analysis of results;
  • The analysis of sales, including on regions;
  • Efficiency analysis of work of client managers (planned and actual KPI).

In First Form instruments of self-service for employees were also implemented:

  • Applications for a holiday;
  • Business trips;
  • Armoring of meeting rooms;
  • Personnel recruitment.

In September, 2017 trial operation came to the end, and the CRM system turned into productive work for 120 users.

"The first Form" instead of e-mail

In addition to EDMS and CRM, in First Form tools which practically all staff of holding uses are implemented. First of all, it is setting and control of instructions, including according to the results of meetings.

Regarding communications between employees First Form almost completely replaced e-mail. It concerns also such processes as acquaintance with orders, approval of applications for a holiday or a business trip, armoring of meeting rooms. Heads of divisions can leave the request for personnel recruitment.

Any of these processes can be started clicking of one button on a self-service portal. On the portal also news of the company and the description of the tools which recently appeared in a system are published. Collecting of offers from users on completion and improvement of a system is organized.

Top managers for work often use mobile application 1F of Chat – in it they can accept the signature, to appoint the contractor on a task, to check the course of accomplishment of order.
