In September, 2012 in Valenta Pharm company the implementation project of The First Form system came to the end. The customer started use of a system in December, 2011.

Project Tasks

Process of transition to First Form was performed in 2011 at the initiative of the staff of financial service. The main objective of system implementation initially was the automation of process of approval of agreements connected with the large volume of paper documents (up to 40 agreements a day).

Project Results

According to the results of the project in First Form management of contract activities is completely implemented: all agreements are approved in a system, the bank of documents is created, the base of regulations is conducted, submission of memos is automated, recognition of documents on a barcode is configured. Requests for payment are integrated with the accounting system of the company that does reconciliation procedure of documents fast and transparent.

In a system 630 people daily work. "The first Form" is actively used by all divisions and also the medical representatives working far off. In a system there is a management of holding advertizing campaigns of local and federal levels, right there is collecting of analytical data on actions. Processes of approval of technical specifications on the new product development and changes of compositions of the produced medicines which are strictly regulated within the existing legislation for the enterprises of the pharmaceutical industry are automated.

For Valenta of Pharm mobile application of First Form was configured, elements of the corporate style of the company were integrated into its interface. Top management of the company uses mobile application for review of documents.

Kirill Misharin, the head of department of automation of the corporate reporting, noted possibilities of flexible configuration of routes in First Form at the changing business processes and the potential for further development of a system: "A system gives the chance of independent setup. We were faced the need of change of some business processes in view of change of management of the company and all could implement in a short time independently, without involvement of third-party specialists and additional finance costs. We develop a system: at the request of Directorate of personnel the next step we planned automation of orders for a holiday. Also in plans — to automate expense reports and approval of the actual acts which happens in paper form".

"The first Form" constantly develops: monthly technical specialists of First Form carry out works on SLA, tuning up functionality of the application taking into account the tasks facing the company.
