The feature of the Russian construction market consists that production processes of each construction company are in own way unique. Even in spite of the fact that construction companies conduct the activities for the same Construction Norms and Regulations, different approaches to the solution of key tasks of management are often put into practice. What should be the solution on automation meeting requirements of management of construction projects taking into account it?

As practice of GMCS company shows, for the customer is advantage if the solution allows to automate all cycle of management of the corresponding processes – from planning before commissioning of the object, including signing of the contracts, work and cost accounting of the project. It is important if the selected solution can provide support of projects with fixed cost and also with the Time and Materials type. Thanks to such complex approach the customer receives comprehensive control over the construction project that allows it to monitor execution by contractors, subcontractors and suppliers of their obligations, to quickly introduce necessary amendments in the working schedule, to control the material consumption, to manage effectively money by the project.

Interest in solutions on management of construction projects is shown not only by the companies of a segment of construction and the real estate. Construction makes an important part of activity, for example, of the extracting and telecommunication companies. So, rendering telecommunication services assumes big investments and large-scale construction of facilities of communication, for example, of new fiber lines. Search and development of fields means not less active construction of the corresponding infrastructure facilities (prospecting stations, etc.). Therefore data of the company as practice of GMCS shows, are not to a lesser extent interested in the flexible and simple management tool in use in construction projects.

Let's give an example. The Rostelecom company conducting active capital construction needed an effective management system for construction projects. At that time GMCS executed creation in telecommunication company of the information management system by the enterprise based on Microsoft Dynamics AX. Specialists of GMCS solved the new task set by the customer, having implemented a possibility of maintaining in Microsoft Dynamics AX of the project cost accounting and also having provided automatic distribution of indirect costs to objects of capital construction and correct formation of cost of fixed asset objects. The received practices formed the basis of own industry solution – GMCS CapEx based on Microsoft Dynamics AX. Further the given solution included experience of specialists of GMCS company in the field of automation of business challenges of specialized construction and development companies.

The solution GMCS CapEx registered by Microsoft company is focused as on the companies conducting construction by a contract method and on those enterprises which perform own-account construction. The functionality of the standard solution for management of the construction GMCS CapEx projects allows to solve the following business challenges (fig. 1):

Description of functionality of the solution

Maintaining uniform normative and help base

Effective management of construction projects requires consolidation of construction objects / platforms, standard works, directories of materials of producers, etc. in uniform normative and help base.

The solution GMCS CapEx allows to organize uniform normative and help base with a possibility of maintaining in it:

• Hierarchical reference book of construction objects / platforms (fig. 2)
• The hierarchical reference book of agreements with suppliers/contractors with a possibility of a binding to objects
• Reference book of standard works
• The reference book of materials, including accounting of nomenclature numbers of producers of the materials/equipment.

Management of tender procedures

The tender for the choice of the contractor/supplier – indivisible element of any construction project. GMCS of Sapex allows to automate a full stroke of management of tender procedures, including registration of lots and commercial offers for their subsequent assessment. For convenience of specialists of customer company the solution completely supports the document flow connected with it, including maintaining primary documentation and formation of agreements according to the results of the tender.

Purchase management and supply

Materials requirement and the equipment is a variable component of the construction project. Questions are always particularly acute for construction companies how effectively to dispose of the available resources how to provide control of their expenditure, having prevented possible plunders. Application of the solution GMCS CapEx allows to automate completely process management of purchases and supply and also to provide transparent control over a condition of equipment and use of materials. The solution supports maintaining specifications to delivery agreements, provides automatic formation of purchases on the basis of specifications. Using the solution specialists of the enterprises can reveal deviations on deliveries, keep the reference book of materials with indication of nomenclature numbers of producers of materials and the equipment, to create the primary documents set by requirements of the legislation of the Russian Federation and to prepare the reporting under management of supply. Scheduling of works

One of the keys to success of projects in the field of construction and the real estate consists in accurate control of the stated project deadlines. The impossibility of detailed vision of the project status can lead with failure of the planned terms and, as a result, to deterioration in the relations with the customer.

Not to allow it the solution GMCS offers ample opportunities for scheduling of works, including for expanded scheduling using means of Microsoft Office Project. In particular, use of the solution allows specialists of customer company to control deviations on calendar and cost planning (fig. 3).

Cash management and cost accounting

Expense control and income makes the central functionality of the solution GMCS for construction companies. Inefficient use by construction company of the available money at insufficiency of financing, traditional for the construction industry, in general can become a serious problem, up to "freezing" of the project.

GMCS CapEx provides full-scale cash management by projects. The solution gives an opportunity of maintaining the budget of cash flow in any currency. Formation of requests for payments happens manually or automatically, on the basis of purchasing requests and conditions of agreements, and the approval of requests on the budget – by step-by-step approval, to control of budget limits at each stage. Due to integration with the operating systems the client bank is provided import of the bank statement and operational formation of payment documents. In turn on the basis of the bank statement and requests for payments there is an automatic carrying out payments on accounting. The solution GMCS also supports integration with external systems of budgeting according to planned/actual data.

Along with it the solution GMCS allows to keep the cost accounting on objects of capital construction, about a possibility of maintaining cost types, the principles of reference of costs (on an object, the agreement, the platform, etc.), the cost accounting on different cost sources – KS-2 and KS-3 forms, delivery notes on transportation, a SCD, insurance, expense reports and the salary. Using this solution, construction companies can conduct in a system allocation of costs on objects of capital construction: structure, equipment, supplier/agreement. Also the solution offers convenient tools for cost analysis in different cuts.

Correct formation of cost of fixed asset objects is one more advantage of use of the solution GMCS. The solution provides formation of the register of inventory cards of fixed assets on objects, allocation of costs on an object on already created inventory cards, revaluation of a currency component, formation of the summary sheet of inventory objects and the total original cost of inventory cards.
