2019: The DocsVision system covered 13 DZO Pharmasintez in 7 cities of Russia

On May 23, 2019 the DocsVision company reported that the Pharmasintez group is the producer of socially important drugs integrating for May, 2019 5 modern hi-tech plants, an avtomatizirovl offices using the solution DocsVision. The project of automation began in the Irkutsk branch - with a task to automate process of approval of agreements. As functional "customer" the CEO of JSC Pharmasintez and a number of heads acted directly. At first by the regional partner of Docsvision in Irkutsk – RKIT company – it was developed the solution for work with agreements in electronic form, further support and which development specialists of JSC Pharmasintez could perform by own forces.

The most part of documents passes through top management of the company. The vice president for finance and investments, for example, will weekly approve in Docsvision of 70 agreements.

In 2019 a system covers already 13 DZO in 7 cities, and 450 users participate not only in local, but also in end-to-end processes which connect different DZO: contractual process, processing of basic office work documentation, work with organizational and administrative documents of the company. Also unique developments - work in Docsvision with requests of translation department, implementation of local resources for divisions (marketing), automatic registration of mailings in otpravka.pochta.ru service and others are implemented.

One of features of the project that it is kept by forces of own specialists of the company, and only at the expense of the available platform opportunities.

2015: Pilot project

Situation

The pilot project started in February, 2015. Its duration was about 3 weeks.

Problem definition

• Requirements to a corporate system of electronic document management were formulated:
• Automation of control of executions and orders of the head;
• Automation of office work processes;
• Automation of production processes and management processes of quality.
• At the same time a system should be scalable; mobile, the functionality should be configured flexibly for new tasks.

Result

The application solution automated basic functions of office-work of JSC Pharmasintez:

• accounting of incoming correspondence, control of execution of instructions, vising of outgoing answers;
• accounting and control of execution of personal instructions;
• approval of drafts of outgoing letters;
• support of complete lifecycle of memos;
• support of lifecycle of administrative documents and accounting of the regulating documents which are put into operation by administrative documents;
• start and execution of periodic tasks / instructions.
