Ingosstrakh was unrolled by EDMS "Thesis"

On October 2, 2017 the company Haulmont announced an implementation project EDMS Thesis in SK Ingosstrakh.

Customer

The Ingosstrakh insurance company was formed on November 16, 1947. Today it is the universal insurer of federal level, one of leaders of domestic insurance market. Services of SPAO "Ingosstrakh" are available in all territory of Russia thanks to the wide regional network including 83 branches. Besides, the companies work with participation of the capital of Ingosstrakh and representative office of the insurer abroad.

Situation

At a stage of the choice of an electronic document management system for Ingosstrakh it was important to find such tool which would allow to process about 1500 documents a day and to automate work of 6000 employees. Special attention was paid to system performance and the high speed of its work and also an opportunity to develop EDMS by own forces or using third parties, not to be thereby dependent on vendor. The company needed to use different EDS in work, therefore the purchased system had to have licenses of FSB of Russia for development and software distribution, protected using cryptographic (cryptographic) tools. At the same time the supplier of EDMS had to provide system implementation in a short space of time.

Solution

Specialists of insurance company studied systems which are available in the market and selected two which met all requirements. Then contrastive analysis was carried out them, and the decision to implement a document management system and tasks of TEZIS is made. The full-function web client allowing to work from any device regardless of where at present there is an employee became one of important advantages of the selected system.

Expanded edition of the THESIS system which was purchased by insurance company has broad functionality that allows to solve not only classical problems of office-work, but also to modify EDMS under unique processes of the organization and also to integrate it with other systems. Installation and the EDMS THESIS setup on the server hardware of insurance company was carried out far off and to a short time. Then technical support specialists of Haulmont company — EDMS developer, provided resident instruction of system administrators and its key users.

Result

The document management system and tasks of TEZIS helped to automate work with the entering and outgoing correspondence, simplified approval of documents and the organization of meetings. In EDMS process of transfer of the tender documentation was implemented, reports on judicial correspondence are finished and the possibility of application of the electronic certificate of e-Token for the electronic signature appeared.

Thanks to ample opportunities of an integration part of TEZIS Ingosstrakh was adjusted by specialists process of automatic adding of EDMS in automated information system of the entering judicial correspondence that allowed to trace all agenda and notifications, procedural and court documents coming to the company.

In plans at the company further development of the THESIS system. In EDMS requirements for approval of orders will be implemented and modification of mobile version is made. Works on integration with automated information system which allows to prepare the management reporting are at the moment conducted and to use a system for personnel document flow.

Active use of a system in the company became a push that scaling of EDMS THESIS was made. The Ingosstrakh insurance company purchased licenses for an unlimited number of connections. As of October, 2017 in a system about 6000 users are registered and more than 430,000 documents are created.
