Ilshat Nasyrov, Peton: EDMS in a separation from all the rest is uninteresting to us

The technology engineering holding "Peton" is the world-class Russian company, more than 30 years which is implementing "turnkey" projects in the oil and gas industry and having the largest Russian and international oil and gas companies among customers. In 2017 at the enterprise transition to a new electronic document management system was performed - today in EDMS based on the Russian Docsvision platform about 1000 employees of head office of NIPI NG "Peton" in Ufa and in territorially remote affiliated enterprises work. Ilshat Nasyrov, the head of department of implementation of information systems of UPMP NIPI NG Peton LLC, told in more detail about what problems are solved today by a system as industry specifics affects workflow automation and also gave to colleagues a valuable advice from own project practice.

Let's begin with premises: tell, please, what led to replacement with earlier implemented EDMS and what criteria were for you key when choosing new?

Ilshat Nasyrov: Taking into account scales of the company and speed of the made changes in the course of IT projects for us 2 factors are critical.

As our company actively participates in the import substitution program, the first – we try to select products of the Russian production therefore at a choice stage, considering options, we rejected systems like Documentum at once. Besides it is obvious, as the cost of foreign platforms is significantly higher.

The second moment which did not suit us in a former system – inconvenience and lack of a possibility of own completion. At us in the company the principle works: we should be down on to all used IT products, be able to work and support with them. In a case with last EDMS to us with everything, even the smallest changes, it was necessary to address representatives of the company vendor that is especially inconvenient when the issue needs to be resolved urgently. We made the decision that it is irrational to invite to work of several specialists for work with the platform on Java, also system quite specific - it is rather difficult to find specialists of the high level with knowledge of specifics of this platform.

Selecting between several new systems and also option to remain on former on other conditions, we came to Docsvision. Above designated, desire of the management to implement a new product which would meet the new requirements of our actively developing and quickly growing company which implements large-scale oil and gas projects in the ERS format became a decisive factor, in addition to.

You were going to be engaged in the platform independently and how now work is constructed?

Ilshat Nasyrov: Yes, completely, this quite natural desire. If the company large – I consider that all is much easier to develop, to implement and make changes by forces of own specialists. Now we, of course, address from time to time integrator – Sinerdzhi Software company from Ufa together with which we implemented implementation of this program – but in general we are going to develop a system independently as means of designing of solutions on the platform it allow, if necessary consulting directly with vendor.

In a system about 1000 users already work: what staff of departments is covered?

Ilshat Nasyrov: The most part of employees of front and back of offices "Peton" uses this program: our holding implements "turnkey" projects, i.e. divisions which provide project implementation from a pre-investment stage and development of technology before production and supply of equipment and construction of the facility are a part of holding.

Under each our project the separate project office is created, and the management system for these projects is performed on the Docsvision platform. In EDMS top management, heads of divisions, specialists, assistants works.

These are employees in what cities?

Ilshat Nasyrov: Today the holding locates big capacities for engineering and implementation of large projects and has several representations: in Moscow, Ufa, St. Petersburg, Omsk, Rostov-on-Don, Novy Urengoy, Orenburg, Vyborg, Saratov.

In Ufa to a system we connect 3 affiliated enterprises which territorially are in different places, besides, the central office at us is distributed on several buildings in the different districts of Ufa. The staff of offices in all cities of presence of the company is connected to the program.

And how many employees of IT department keep such large-scale project?

Ilshat Nasyrov: I implement the project as the curator: I reveal requirements, I set tasks, I will approve and I develop new features and also I optimize already working. In our command there is an administrator who directly communicates with users and implements changes in a system, soon them will be two. So far we cope!

Let's talk about problems which are solved today by EDMS "PETON"?

Ilshat Nasyrov: We automate basic office-work, approval of agreements and also the block of memos which circulate between departments (it is, for example, a request for an information access, or for access to the organization for third parties). In a system tasks from heads to subordinates, perhaps are set, we implement in the future the system of reports on performing discipline.

Whether there are some specifics of work with documents caused by requirements of your field of activity?

Ilshat Nasyrov: The main specifics - project activity. In respect of document flow it is much more difficult. I have behind shoulders an experience of 4 IT projects on large-scale productions (including in mechanical engineering and in wholesale and retail networks), can tell that there information exchange happens more simply and, roughly speaking, on one system - from top to down and back. Here process is subordinated to more difficult algorithm and branched so strongly out that, speaking clear language, in flowcharts of an arrow of interactions will be laid from each block almost in all next points (blocks).

Whether EDMS with other IT systems of the enterprise is integrated?

Ilshat Nasyrov: Yes, and it is an important point: we purchased the gateways Docsvision to SharePoint and 1C for integration, and now work with agreements happens in a complex. They are actually duplicated in 3 places: in Docsvision at an approval stage, then they get to the accounting system of 1C and on a corporate portal. It provides convenience of work and saving of time.

We are going to implement the same concerning financial requests from the centers of the financial responsibility for budgeting.

And how many documents pass through a system today?

Ilshat Nasyrov: In a month about 6000-7000 documents.

Give advice to colleagues to whom the EDMS implementation project is necessary?

Ilshat Nasyrov: Pay attention to the platform at which a system works especially if you are going to support. Docsvision works at '.Net' (C#) that conveniently and just accompanied by a product.

What do you consider key change in connection with change of the platform?

Ilshat Nasyrov: The main notable convenience – in integration. The sheaf with mail (Outlook) worked for us and in a last system, but at once 4 systems interact now: mail, accounting and reporting + planning, corporate portal (i.e. system of the publication of data) and system of operational exchange of documentation.

Electronic document management in itself, groundless - in a separation from all the rest – to us, for example, is uninteresting. We received seamless integration with other systems, and this is important.
