2019: Transition to legally significant document flow

The Russian branch Smurfit Kappa passed to legally significant document flow with the clients. On September 22, 2020 the Docsvision company reported about it.

The Russian branch Smurfit Kappa took the first steps to paperless document flow in 2017, having begun to use EDMS on the Docsvision platform and having automated approval of agreements. 2 years later legally significant electronic document management was let into the companies. The updated system services 4 territorially separate enterprises, processes tens of thousands of documents. The project was implemented by specialists of DocsVision company.

Preparation of EDMS for a possibility of exchange of legally significant documents began with setup of certificates for electronic signatures and developments of the module for loading data from ERP- systems in Docsvision. Then integration EDMS with a system E-DOCUMENT FLOW "Diadoc" was configured. As a result of the done work the Russian branch Smurfit Kappa completely avoided approval "on paper", increased transparency of processes of work with documents and minimized loss of documents.

In the updated EDMS employees from 4 isolated production sites daily work at the Docsvision platform. Integration about "Diadoc" simplified exchange of legally significant documents with clients of the Russian branch Smurfit Kappa. As a result the most part of documents goes and arrives in electronic form – printout and scanning is not required. Practically need for express sendings disappeared.

To be successful in business, it is important not to be afraid to apply technology innovations and to adapt processes for technologies. However, innovations should be convenient for those who use them. EDMS on the Docsvision platform allowed to accelerate preparation of documents and their subsequent exchange with our clients, to refuse excess overheads. Our employees estimated convenience of a system and how the efficiency of their work increased, - Andrey Lozhechnikov, the director of information technology commented.

2017

The company felt effect of transition to electronic document management at once:

• it became convenient to trace the movement of documents,
• at the expense of notifications of a system the performing discipline increased,
• terms of approval were reduced many times.

Approval of supplementary agreements to agreements, different requests, credit-notes and the block of documents of the quality system - SMK was transferred to an electronic form. Using the special utility all existing documents SMK were automatically loaded into EDMS (they were about 1200). The convenient storage system and a categorization of these documents is developed that facilitated their search in a system, now they are available to all employees.
