Amber DocFlow EDMS implemented in "SMU-6"

2017: First stage of automation based on Amber DocFlow

In October 2017, the first stage of automation was completed on the basis of Amber DocFlow at the Moscow enterprise SMU-6, which is engaged in the construction of residential buildings, production, administrative, retail buildings and complexes.

Issues:

• Maintaining a huge number of documents required to conclude and maintain contractual relations with customers and contractors;
• Significant time costs associated with manual formation of documents of the same type;
• Lack of a single document repository and a convenient system for searching for documents;
• Lack of tools for monitoring the fulfillment of tasks assigned within the company;
• Lack of operational analytics that ensures the necessary transparency of the activities of the divisions and the ability to make balanced management decisions.

As a result of the project, the following results were achieved:

• Electronic document management has been taken into account at various stages of the customer's business processes, taking into account all the specific features of the company.
• An algorithm for electronic approval of various types of contracts with service providers has been implemented.
• You have set up automatic start-up to create and assign regular tasks according to the deadlines set by the internal regulations.
• The mechanism of automatic replacement of persons responsible for tasks, in case of vacations and business trips has been implemented.
• We have implemented a mechanism for sending reminders about the deadline for work under contracts.
• The creation of the necessary documents for the execution of transactions is automated.

The plans of Hawk House Integration and SMU-6 include the development of the system: automation of budgeting, mutual settlements with suppliers and project management.
