Content

On December 1, 2017 the SoftExpert group announced implementation of a software technology "1C: Document Flow 8 CORP" in PJSC Tula Small-arms Factory.

Project Tasks

In the conditions of paper document flow, on distribution of correspondence, ORD and contractual documentation on the numerous body of the plant a lot of time left:

  • distribution of instructions by letters,
  • informing contractors on orders and memos,
  • control of their execution.

The information system for simplification and acceleration of processing of incoming correspondence, approval of agreements and internal documents was required for the enterprise.

For EDMS implementation services the Tula small-arms factory addressed SoftExpert Group.

Project Progress

For the solution of assigned tasks selected the 1C: Document Flow 8 CORP system. A system is developed on the 1C Platform that allows to integrate seamlessly it with in parallel the ERP solution implemented on TOZE on the 1C: Enterprise platform.

Project Results

Automation covered more than 100 structural divisions of the enterprise. The electronic document management system is unrolled in 150 workplaces.


Main results of the project

  • accounting and storage of incoming correspondence, contract activities, work with organizational and administrative documentation and memos is automated. The majority of documents of the enterprise is duplicated on paper so far, but it was succeeded to refuse their mass replication. Paper registers of incoming documents, orders, orders and agreements remained in the past. Expenses of the enterprise on office supplies and service of the copy equipment were as a result cut down. Document retrieval became simpler and accelerated.
  • the backup function implemented in a system almost completely excludes threat of loss of data. Besides, originals of documents remain in paper archive. Differentiation of access rights to a system taking into account job responsibilities of employees interferes with unauthorized access to confidential data and allows to avoid information leak.
  • approval of agreements, including protocols of disagreements became simpler. The electronic document management system provided a possibility of simultaneous access to files of agreements and accompanying documents for all persons, responsible for approval. As a result agreement signature accelerated, bargains began to be concluded quicker.
  • approval of organizational and administrative documentation is optimized. During the project the most labor-consuming sections were revealed and automated, 16 routes of approval of ORD are developed, in particular, schemes of the movement of orders on substitution, sending, preparation for autumn winter period, etc. are described. As a result terms of approval of internal documents were reduced by 50%. The staff of numerous workshops and administrative divisions of the plant had an opportunity to work jointly with ORD in real time, without leaving the jobs. Need to move on the large territory of the enterprise to transfer this or that order, disappeared. The contents of organizational and administrative documentation began to be brought to the attention quicker of addressees, respectively, accomplishment of tasks - acceptance and the product delivery, carrying out tests, inventories, etc. accelerated. All this positively affected rates of production and implementation of requirements for a state defense order adherence to deadlines.
  • level of performing discipline increased. Heads can control degree of load of subordinates, terms and volumes of the works performed by them in the online mode, to redistribute instructions in case of need. The efficiency of each specialist is reflected in the report on performing discipline that motivates employees more responsibly to approach an adherence to deadlines of accomplishment of assigned tasks.
