2019: Automation of internal documentation processing and implementation of mobile printing service
On March 4, 2019, it became known that Konica Minolta and RAP Holding continued to cooperate on improving document management processes. The introduction of specialized solutions allowed the company to reduce the processing time of documents and make the work of employees with the printing service more convenient.
The project to automate the processing of internal documentation of the Holding's RAP was a continuation of the cooperation between the Holding and Konica Minolta on the project of optimization and outsourcing of printing, as a result of which it was possible to reduce the fleet of printing devices by 50%, reduce the volume of printing by 20% and reduce labor costs for service support by 90%.
At the preparatory stage of this project, Konica Minolta specialists conducted an audit of current document-intensive processes and chose one of the most active processes for working with internal documents as a pilot task. Before the implementation of automation, it took at least 10 minutes to manually complete and process one such document. Konica Minolta specialists implemented a solution based on Document Navigator Server, developed a connector to the RAP Holding electronic document management system (EDMS), and also customized a comprehensive solution for the company's tasks. Such stages as marking the created document with a barcode, its recognition, renaming and placement in the EDMS with automatic search of the specified document card were automated. As a result, the registration process began to take only 1 minute.
In the 2.5 months since the project was implemented, 230 documents have been processed, with an average processing time savings of 9 minutes per document and a total savings of 38 hours or 4.75 of the employee's working day. At the same time, the solution guarantees 100% elimination of errors when placing a document in the EDMS. These are very good indicators, so we will scale the solution to other document-intensive processes. We have just completed the automation of the contract and specification procedure. 2018: Optimizing Printing Costs
On February 6, 2018, Konica Minolta announced the optimization of the printing costs of the RAP Holding industrial holding using a comprehensive print outsourcing service. The shift to an outsourcing model has made enterprise printing costs completely transparent and predictable.
Before the start of the project, the print park "RAP Holding" consisted of 342 printing devices, of which 80% were personal devices of A4 format. The printing volume was 305 thousand b/w pages per month and 4.7 thousand color pages per month, printing equipment produced by seven different vendors was used. After the completion of the project, the number of equipment decreased to 92 pieces of equipment and four models of the Konica Minolta MFP.
The company also introduced a printing control system, automated monitoring and introduced a printing authorization technology at any MFP in the local network, including in the territorial-distributed enterprises of the holding. As a result, the printing volume decreased by 20%, and the labor costs of IT department employees serving the printing fleet decreased by 70%.
