Committee of veterinary science from Gosvetinspektsiy Altai Republic implemented EDMS Case

Altai Republic is one of the subjects of the Russian Federation which are systematically developing in governing bodies electronic document management based on EDMS "CASE". This system is used in authorities of the Republic since 2000. Specialists of Government Office became its first users, in the years ahead "CASE" step by step was implemented in a number of the ministries and departments. In February, 2018 the Committee of veterinary science from Gosvetinspektsiy Altai Republic joined number of the state agencies of the subject automating document flow. Implementation of EDMS was carried out by the company "KS-Consulting" (the partner EOS GROUP in the territory of Western and Eastern Siberia).

Before implementation of EDMS "DELO" document flow in Committee was conducted in a traditional paper form with journal registration. At the end of last year department purchased jobs of EDMS "DELO", the license for the option "Scanning" and for the Monitoring of Documents application. Specialists of KS-Consulting company conducted document flow examination, customized and set a system and options, trained users.

Department receives the main volume of incoming documents from the Government of the Republic (in paper option), to control instructions in the Government form and go to responsible authorities of printout reminder. EDMS "DELO" allowed to solve the main objectives of the initial stage of workflow automation:

• transfer accounting of documents to an electronic form;
• automate operations on control of execution of documents and instructions;
• provide a possibility of quick search of documents according to different details and their set;
• automate reporting on document flow.

The HR specialist and the receptionist became users, they have the equal rights in a system and can replace each other. The main document groups were entered to base (entering, outgoing, internal, administrative documents and citizens' appeals). Document registration is performed in a classical form, using standard functionality of EDMS "DELO". On control documents RC (registration card) where contractors, terms and course of execution are specified is also got. EDMS allows to monitor timely approach of control terms and in advance to inform on it responsible specialists and also to create for them document lists and the instructions which are subject to execution in the nearest future. Since February, 2018 the CASE system operates normally.
