Alexey Kolesov, the chief of bureau of electronic document management systems of VSMPO-AVISMA Corporation, in an interview of TAdviser told about features of transfer of process project management in an electronic form using the Directum ECM system.

Tell how document flow in VSMPO-AVISMA Corporation is organized? What solutions do you use?
Alexey Kolesov: As the platform for electronic document management we use the Directum ECM system. In it office-work, contract work, management of internal and normative and technical documents of the company is conducted. In a system there are modules for collecting and the analysis of KPI, project management, meetings. From standard solutions only the module Office is used, the others are developed by forces of our specialists without attraction of third parties. Today in EDMS more than 40 modules and technical solutions, for part of them integration with information and production systems of corporation is configured.
How project management before development of the corresponding module was organized?
Alexey Kolesov: We manage projects mainly also now "on paper" since implementation of the module in divisions only gains steam. We hope to transfer processes completely to an electronic form in the nearest future.
Why the decision to implement the module independently was made? Whether other products, similar in functionality, were considered? What in them did not arrange?
Alexey Kolesov: The specifics of work of large enterprise mean the large volume of planning and project management. Drawing up work plans, repairs, productions and so forth – an important element of planning of activity of the company. In addition, there are tasks of adjustment of plans, tracking of the course of projects and the analysis of already performed works.
In project management it is convenient to use the charts Ganta for which creation there is a set of applications. Among them as desktop (for example, MS Project), and web applications - single-user and multi-user. However any of them is not built in already existing infrastructure of the enterprise, cannot use handbook data about workers, divisions. And existence of one more system is inconvenient for users.
Therefore quite naturally we had an idea to implement an ability to manage projects in Directum.
In what terms the solution was created? What difficulties faced in development process?
Alexey Kolesov: Works were carried out to the period from February to October, 2017. Creation of the interactive user interface in a project card became the most difficult in terms of implementation. It is executed using an IWebBrowserControl form component into which when opening a card the web page is loaded.
Big technical feature – functionality, displaying a time scale. 1 day is taken for the minimum temporary unit. Irrespective of project terms, it is necessary to display correctly and quickly time line on which days would occupy identical width.
As a result the solution was found. We received a time scale on which depending on scale and the sizes of a form, signatures of days, months, years are displayed. Tags designate weeks, and days off and holidays are highlighted with color.
Tell about the main opportunities of the module "Project management"? What its main advantages?
Alexey Kolesov: Module basis – the reference book in which for each project separate record is started. Projects form in the form of the chart Ganta and consist of a set of the works limited on time. Works can be integrated in groups and to connect consistently with each other, to define for them contractors and controllers.
When sending the project for approval or execution in a system the corresponding tasks for responsibles form. At the same time flexible configuration of conditions of start of tasks depending on the status of the previous connected works is possible. Besides, projects and works can be cancelled with the automatic termination of tasks.
During reporting periods contractors and controllers of the project can expose percent of execution of works – i.e. it is possible to announce the project course without accomplishment of tasks in a system. At the same time progress of the project will be displayed also on the chart. Also the work content can be unloaded in the XLS and PNG format.
Who uses the module in work?
Alexey Kolesov: Today in the module specialists of the information, scientific and technical and control and test centers and also the staff of production department of corporation work.
Whether development of functionality is planned? What features would it be desirable to add?
Alexey Kolesov: We are going to develop possibilities of the module regarding assignment of tags to works, it is necessary for search optimization. Also we consider other directions of completion, in particular, on creation of the mechanism of aggregation of works from different projects on one chart on these or those signs.
What else cases are now studied?
Alexey Kolesov: Today at us it is developed and there is in trial operation a module "Orders for Transportation" – it is necessary for process management of loading and sending products. At an implementation stage – the module "Management of Meetings".
Also we finished and prepared for trial operation the module of registration of passports of projects/subprojects regarding sending tasks of standard routes for opening and project closure.
Whether there are plans for development of the project of automation of process of management of the specifications and technical documentation?
Alexey Kolesov: At the moment functionality of a system for the solution of these tasks completely suits us. Further development was not planned yet.
