"The Vodokanal Yakutsk" automated document flow based on EDMS "DELO"

On November 1, 2018 the EOS Group company announced project completion on system implementation of electronic document management in Vodokanal Yakutsk Joint-stock company. For process automation of management of documents the customer selected EDMS "DELO". The project is implemented by Infosistemy-KS company.

Before implementation of EDMS "DELO" in JSC Vodokanal other software product was used, but it not completely corresponded to tasks of management of documents. When choosing the workflow system existence of functionality for remote connection to processes of work became one of important criteria.

A system is brought into commercial operation on June 13, 2018. Within the project with the help of the EDMS "DELO" standard tools the following processes are automated:

1. Registration of the entering, outgoing, internal documents. The group of entering is subdivided into several subgroups – the Heads of the Sakha (Yakutia) Republic and the Government entering from Administration entering from the Ministry of housing and municipal services entering from other organizations. A part of the arriving correspondence is registered automatically. Separate category with own nomeroobrazovaniye – citizens' appeals and personal reception of citizens. In EDMS also memos (treat internal documents) and agreements are fixed. Further it is going to cover a system other document types, formed in the course of activity of the enterprise.
2. Issue and control of execution of instructions of the management.
3. Remote access to EDMS (for the staff of territorial subdivisions of JSC Vodokanal).
4. Approval and signing of draft documents (including agreements).
5. Documentary interaction with authorities and local government (The government of the Republic, City administration of Yakutsk, etc.) EDMS "DELO" JSC Vodokonal is integrated with the System of interdepartmental and inter-level electronic document management of public authorities of the Sakha (Yakutia) Republic (MEDO RS (Ya)) regarding automatic delivery and obtaining documents from participants of MEDO RS (Ya).

In an electronic document management system of JSC Vodokanal for November, 2018 116 users, including the staff of remote divisions are registered. All of them completed a training course and work in EDMS "DELO" via the web interface. The director uses the tablet device which allows it to look for documents for access to EDMS, to browse them, to issue instructions, to control execution and also to approve and approve draft documents using the electronic signature. Implementation of EDMS "DELO" in JSC Vodokanal is complete, all divisions participating in document flow are connected to a system. Further it is going to increase quantity of the document groups registered in EDMS and to start new processes.

JSC Vodokanal noted that transition to EDMS "DELO" allowed to accelerate significantly work with documents, to reduce delivery time of documents and instructions to addressees, to reduce the total amount of paper document flow. Also noted convenience of work and the intuitive interface.
