On November 21, 2018 the Aytob company announced system implementation "1C:TMS Logistics. Management of transportations" in JSC East-Service-Spetskomplekt - structural division of Vostok-Service Group. JSC East-Service-Spetskomplekt provides delivery of finished goods to clients and in brand stores of group and also delivers raw materials and materials on production sites of Vostok-Service Group. Daily more than 180 orders for transportation of goods come to the company. Delivery is executed both own, and attracted motor transport, it is more than 70 motor transportation companies and also railway - and airlines.

Prerequisites of the Project

Earlier management of transportations in the company was not automated. Problems of planning of delivery were solved manually. Logisticians made routes using Internet cards. For formation and approval of contractors of requests for transport and drivers e-mail and telephone communication was used. Planned and actual costs on transportation were calculated in spreadsheets.

Project Objectives

The information system which would help to increase quality and efficiency of planning of delivery became necessary for the enterprise for increase in efficiency, to strengthen control of work of transport, to provide exact accounting costs and to optimize cost value of transportations. A choice was made for benefit of the solution "1C:TMS Logistics. Management of transportations". The system developer - AYTOB company became the partner in implementation.

Project Progress

During the project a system is implemented in divisions of group in the Moscow region: in warehouses to Ramenskoye and Reutov, in logistics divisions to Ramenskoye and Ivanovo. For November, 2018 in a system more than 300 managers (creation of tasks for transportation of goods or use of data of NSI and documents), security service specialists, administrators, logisticians of department of transport logistics work. Further it is going to replicate a system in regional branches of the company.

Project Results

Key results of the project:

  • Operational order processing on delivery is organized. Managers register all arrived orders according to uniform standards then orders are automatically transferred to department of logistics for further work. At the same time a system controls completeness of information: if not all required data are entered - the order cannot be saved. It allowed to minimize errors and inaccuracies at registration of shipping requests.
  • Planning of runs and drawing up routes taking into account different criteria is automated: cargo dimensional characteristics, location of customers, temporary windows of delivery and other requirements. Criteria of planning can be configured in a system depending on business needs. There was an opportunity to quickly create compound runs of the different orders received on different law companies of group. Each route task can be browsed quickly on the electronic card where all points of a route with indication of a transaction type are displayed (loading/unloading) and information on the sender/receiver. The manager can receive in a system detailed data on routes, the involved drivers and vehicles at any time.
  • Planning of multimodal transportations is optimized. In a system the mechanism of selection of carriers for accomplishment of multimodal tasks is implemented. Tasks to carriers are distributed automatically, taking into account parameters of a load, conditions of its transportation, location and features of a destination point. According to a multimodal task it is possible to create run automatically. Time of processing of multimodal tasks accelerated several times: earlier in one minute it was possible to process one multimodal task, according to the results of the project during this time it is possible to create 10-20 tasks.
  • Control of safety of transportations is strengthened. Operational check of reliability of contractors is organized. It is implemented as follows: the company holds the tender for transportation of a load, selects the optimal offer and the Logistics loads into a system "1C:TMS. Management of transportations" data on the selected cargo carrier, including the information about the drivers appointed to a route and vehicles. If the driver or the vehicle, data on which are not present in base is appointed to a route or they are changed - information is automatically transferred to a security service. Security service specialists check the contractor or the vehicle and give them in a system the corresponding status. If an object did not undergo testing - it is impossible to appoint it to run. It simplified interaction between a security service and department of logistics. The efficiency of data validation of carriers increased twice.
  • Operational calculation of planned costs for transportation taking into account rates of the companies carriers is provided. The possibility of formation and automatic redistribution of actual costs on transportation by structural divisions of group is implemented. There was an opportunity to comprehensively analyze costs for transportation, for example to calculate delivery cost by tasks is proportional to cargo units (on 1 cubic meter). The system of calculation of planned costs and their distribution by orders can be configured depending on current demands of the company. It helps the enterprise to estimate more precisely cost value of orders for delivery and to reveal reserves for decrease in transportation costs.
  • Work with agreements with contractors is unified. In "1C:TMS Logistics. Management of transportations" is displayed up-to-date information under agreements: date of the conclusion of each agreement, validity period, data on prolongation, etc. It allows logisticians to control quickly validity periods of agreements and obligation fulfillment on them.

Besides, the created system excluded need for expansion of the staff of logisticians. Earlier the staff of department of logistics often had to work in emergency mode, at the moments of peak loads the department did not cope with the volume of the entering orders, and the company was going to involve during such periods of two more logistics specialists. Thanks to the project the main objectives of logisticians are automated. Labor costs of specialists considerably decreased, they do not work in emergency mode any more, need for involvement of additional employees disappeared.
