Customers: Ancor HR Company

Moscow; Consulting, including management and human resources

Product: Konica Minolta bizhub-series MFP
Second product: IT outsourcing projects

Project date: 2018/05  - 2018/10

On November 29, 2018, Konica Minolta announced the transfer of the Moscow office of the Ankor personnel holding to press outsourcing. The company has unified the fleet of printing equipment, simplified the service process, reduced printing costs and reduced labor costs for support staff by 10%. In the future, Anchor plans to scale the project to other offices, as well as introduce "intelligent" recognition and processing of documents.

Project Prerequisites and Objectives

The goal of the project is to reorganize the print infrastructure to create a single entry point for all requests. The need for changes is associated with the development of the resource of the Anchor printing equipment fleet, as well as the need to unify the printing equipment, which was presented by several vendors. Maintenance of an outdated multi-tender fleet increased the burden on engineers and required a wide range of spare parts and consumables. One of the decisive factors in choosing a service provider was Konica Minolta's own service with uniform service parameters for office multifunctional devices (MFPs), which allowed Anchor to eliminate risks when servicing equipment in a geographically distributed company structure.

Project Progress and Results

During the project, 25 full-color and monochrome MFPs of the bizhub series were installed in the Moscow office of Anchor. Each device is equipped with the SafeQ software solution, which provides centralized management of printers and user accounts, as well as reports and allows you to set the required printing rules for different groups of employees. In addition, SafeQ controls user access to MFP functions through mandatory authorization on print devices. The identification system recognizes the user by the access card, and the Follow-me function does not require the employee to be associated with a specific printing device, which allows you to print the necessary document on the MFP closest to the user.

"As a recruitment company, we have a duty to ensure that all files containing our customers' personal information are protected from possible data breaches. The introduction of mandatory employee authorization on print devices allowed us to protect confidential documents and internal corporate information. As of November 2018, we are already seeing a 20% decrease in printing volumes and a 10% reduction in labor costs to support the service. Previously, our engineers were involved in the maintenance of the multi-vendor fleet of equipment, after the project they can focus on solving more important problems. "

Anchor is considering scaling the solution to other regions of the company's presence and implementing various Konica Minolta software solutions, in addition to SafeQ, to automate business processes.

"In pilot mode, a bEST Message solution is installed on multiple printers, which allows you to customize the interface of office MFPs. The company will be able to place its logo and any other thematic images on the MFP screens. In the process of launch, there is a project to automate the processing of questionnaires and other documents on paper. With Intelligent Data Recognition in Document Navigator, documents from multiple sources can be easily processed, recognized, formatted, and automatically distributed according to pre-configured scenarios.
