"AMP of the Western Arctic" upgrades an electronic document management system

2019: Updating of EDMS Docsvision to version 5.5

On October 25, 2019 the Digital Design company, the official partner of Docsvision, reported that it will perform works on updating of EDMS to version 5.5 for "AMP of the Western Arctic". Also upgrade of processing of documents, installation of the Web client and integration of EDMS with operator of e-document flow Kontur.Diadok regarding obtaining accounts, acts of the performed works and sending answers on them in Kontur.Diadok is planned.

The area of responsibility of "AMP of the Western Arctic" includes 12 seaports of the Arctic zone of Russia concerning which the Administration performs organizational, material and financial provision. Ensuring smooth operation of services of captains of ports – the main task of "AMP of the Western Arctic" therefore special attention is paid to communication and work with documentation. For October, 2019 the Administration uses an electronic document management system based on the Docsvision platform of version 5.4 in the mode of compatibility with objects 4.5, and until the end of 2019 plans upgrade of a system to version 5.5 by forces of Digital Design company, the official partner of Docsvision.

A system already allows the staff of Administration to work with entering and internal (including organizational and administrative and contractual) documentation, to control execution of documents, the instructions created on them and to work with the reporting on volumes and execution of documents and instructions.

The purpose of upgrade of EDMS is increase in employee performance of "AMP of the Western Arctic" due to transparency of process of approval of documents, reduction of time and labor costs on preparation and search of necessary documents and improvement of control of performing discipline and also performance improvement of the EDMS.

Until the end of 2019 inspection of EDMS, installation of the Web client and also integration of EDMS with operator of e-document flow Kontur.Diadok regarding obtaining accounts, acts of the performed works and sending answers on them in Kontur.Diadok is planned. Thanks to integration process of internal approval, signing of accounts and acts and sending the answer will be automated.

After project completion development of EDMS "AMP of the Western Arctic" will not end: a system gives additional tools for further development as from the point of view of the number of users and increase in number of the processed documents, and in terms of change of functionality and design of the interface, adding of add-on functional units and integration with the implemented systems.

Experience with EDMS "AMP of the Western Arctic" is interesting to us in terms of real improvement of process of communication of branches of Administration. The structure of the organization includes a large number of branches, and not all use EDMS in daily work. After implementation of the web client process of communication will be considerably simplified and unified that, in our opinion, is one of the most valuable results of use of modern EDMS, commented Alexey Pavlov, the project manager from outside on Digital Design
