Pavel Kashtanov, Syntellect: The Russian market is in a stage of mass replacement of EDMS

Pavel Kashtanov, the CEO of Syntellect company, in an interview of TAdviser told about the changes of the Russian EDMS/ECM systems market, important innovations of the Tessa system and key projects executed for the last year using this solution.

How for the last year did the situation in the Russian EDMS/ECM systems market change? What factors had an impact on it?

Pavel Kashtanov: Mature market of EDMS / ESM-sistem a corporate segment first of all is subject to influence of two factors: to technology improvement of the software – to emergence of new modern platforms on management of documents and business processes and adjustments from the state – to changes in the legislation and a political environment.

The first factor, along with growth of the saved-up document flow volumes, forces the companies to pay more and more attention to the new platforms of management of documents capable to replace effectively morally and technology outdated systems. Enlargement of business of the companies using EDMS within several years, merge and a company takeover to different EDMS and also aspiration to centralization of IT infrastructure lead to the fact that growth of number of active users, the joint fund of documents and functional solutions regarding EDMS implementations of modern high-performance solutions require.

The steady trend of transition to the Russian of software also gains steam. For the state corporations it occurs more within the import substitution program, for commercial – in connection with high foreign exchange rate, the difference in the price becomes too essential at similar result.

It should be noted that in March, 2018 corrections according to which, EDMS to save positions in the Register should support several OS and DBMS from the Register were made to requirements to the Register of the Russian software of the Ministry of Telecom and Mass Communications. Tessa – one of the few domestic platforms which is really capable to work at completely Russian system software without restrictions on functionality.

Thus, it is possible to say that the market of SED/ESM in Russia is in a stage of mass replacement of EDMS where behind technological effectiveness and speed of work with large volumes of data under high loads the old systems concede the places in a race to new and perspective domestic solutions. At the same time, at the heart of selection terms there are not applied characteristics, namely architecture, flexibility and scalability of the platform.

How do you consider, the Russian EDMS/ECM systems market is how dynamic in respect of innovations? What innovative technologies, in your opinion, will become the most useful in the next years?

Pavel Kashtanov: In respect of innovations the Russian EDMS/ECM systems market, perhaps, dynamic to call difficult though there is an explicit dependence on type and the nature of an innovation.

The changes in the legislation directed to document flow optimization, but which are not obligatory reach mass implementation only in several years. The companies do not aim to be in the forefront, often being afraid of imperfection of the legislation and penalties for non-compliance with any nuances in new requirements. Slowly and uncertainly practice of implementations before the new technology is included into mass consumption begins to be acquired. Here it is possible to give examples with widely known and nowadays popular technologies of legally significant document flow, the letter of the Ministry of Finance on application of the electronic signature for the certificate of the expense report on traveling expenses (of 8/20/2015 N 03-03-06/2/48232), less known profile instruction 2346-U of the Bank of Russia of 11/25/2009 (about document storage of trading day in electronic form), etc.

All these technologies appeared for a long time, and by this moment we already successfully implemented not one ten projects with their application based on Tessa. But, remembering the first implementations, we understand how it is hard to be in the ranks of the companies - "pioneers" and testers.

Now, when the subject EDS YUZDO is also used almost everywhere, we see steady development of this direction, including, for example, in electronic archive and document flow of personnel documents where by 2020 transition to electronic service records is planned.

Other plane of innovations in SED/ESM are the different technology improvements of platforms increasing convenience of work of users with the final solution, the sweep rate of the necessary information providing full access to EDMS from mobile devices and also different instruments of fast setup, integration modules to external systems and services.

Such innovations, with these or those features of implementation, are quickly enough synchronized between different EDMS thanks to the competitive analysis and the competitive procedures which are carried out by corporate customers in search of the ideal system. It is normal practice, we paid attention more than once as representatives of others of EDMS were proud to introduce new opportunities which in Tessa were put from the moment of creation of the platform.

Separately It should be noted technologies for optimization of input of documents in EDMS and solutions of such tasks as input of unstructured data from documents, automatic classification, comparison of documents, semantic search and the analysis of significant information from documents. Such solutions first of all are demanded in the financial sector (large banks and insurance companies) where there is a big flow of the formalized incoming documents, but are applicable also in other companies where there is a problem of creation of archive of electronic documents. We usually propose solutions from this category together with our technology partner – ABBYY company.

Tell about important innovations of EDMS Tessa of version 3.0.

Pavel Kashtanov: In Tessa 3.0 results of work of several directions of development of the platform were reduced.

First, it is official release in which support of application servers based on OS of the Linux family is implemented. As the Web server use of Nginx or Apache is possible now. Among twelve supported Linux three OS distribution kits are presented in the Unified register of the Russian programs of the Ministry of Telecom and Mass Communications, namely: Astra Linux (Special Edition releases Smolensk 1.6 or Common Edition Oryol 2.11.5), Calculate Linux 17.12.2 and RED OS 7.1 Murom. Agreements on compatibility are signed with the companies presenting data of OS at the market.

Earlier, in the version of Tessa 2.6, support of PostgreSQL DBMS and the Russian Postgres Pro was implemented. Thus, together with the full-function web client in EDMS Tessa work in a circuit with exclusively Russian system software is possible.

This opportunity first of all can be demanded in state structures and state corporations where Tessa was selected from quality of internal EDMS, namely: The State Corporation Rostec, Concern VKO "Almaz-Antey", Deposit Insurance Agency, a federal executive authority Rosvodresursy, etc., but also will not be superfluous and for the commercial sector in terms of significant economy on licenses of the system software.

Other important updating – turning on of the innovation module Workflow Engine with the graphic designer of business processes in structure of the platform. The designer of business processes allows to configure without programming in a system processes of any complexity and with any types of tasks. Key advantage of Tessa Workflow Engine is its highest performance: in the industrial solution there can be at the same time millions of active copies of business processes without any notable deceleration in system operation.

Besides, the web client was completely processed into versions of Tessa 3.0 thanks to what the web client became even quicker, opportunities for his development became significantly wider, and development of expansions of client logic for the web client and for the desktop-client of steel almost identical.

Changes also concerned license policy of the platform: all client licenses of a system became universal now, i.e. regardless of what type of the client is used by the user, web or the desktop-client, on the server is spent one universal client license.

Support of authentication of a directory service of LDAP was still added, new opportunities for work with very big files are implemented, the module of management of routes of documents using which ordinary users without special knowledge and skills can create quite difficult processing of documents in a system had new opportunities. The whole complex of architectural improvements and additional functional, administrative and instrumental opportunities will help to make work in a system even more convenient and pleasant, and setup simpler and fast.

The new version of Tessa 3.0, following market trends, develops the idea of "low code" - the platform: any reference books, documents, business processes and other objects of a configuration are implemented without involvement of programmers, and if necessary to execute integration or to develop unique functionality – the rich means of open API allowing to modify the platform at all levels of architecture under requirements of the specific project are used.

All changes and improvements of the new version of Tessa 3.0 were executed and carefully tested according to a key paradigm of creation and development of EDMS of new generation: performance measures and reliability of work of final solutions remain permanently high under any loadings.

What further tasks are set for developers of the Tessa platform? How will a system develop?

Pavel Kashtanov: As usual, in development of a product we select two aspects: technology and organizational and strategic.

There is a lot of technology roadmaps in Tessa, but I can designate some directions:

  • discussions and votes in cards of objects of EDMS,
  • chats (instant messages between participants of process in a system, without third-party applications)
  • development of applications for mobile devices
  • development of the YuZDO direction with creation of regular connectors to different providers (at the moment in regular delivery the connector to EDI the Diadoc)
  • development of work benches for faster and simple setup
  • development of tools for the geographically distributed companies
  • development of means of scaling in cloud infrastructure

In the strategic and organizational plan in 2018 we took a number of steps on requirement analysis of the European market and the legislation, executed several foreign projects, including completed the next stage of the project in large commercial bank of Cyprus.

The network of our partners extended and replenished with the companies from different regions of Russia. As of the end of 2018 it integrates more than 20 companies. In August the partner action – Partner Forum 2018, dated for release of the new version of Tessa 3.0 was organized.

In 2019 a number of actions for development of this directions is planned.

Whether there are already real implementation projects of EDMS Tessa executed together with OS of the Linux family and PostgreSQL DBMS? In general, how you estimate perspectives of this direction?

Pavel Kashtanov: In spite of the fact that the official release with support of Linux OS and PostgreSQL DBMS left rather recently, we already have one completed project in which the customer passed into a phase of commercial operation of EDMS based on Tessa, also several projects are in work and in a stage of a preseyl.

It is remarkable that the first project executed not Syntellect as the developer of the platform, and our Samara partner Soyuzevmkompleks company, the project was implemented in Notarial Chamber of the Samara region.

In general, we see this direction perspective and demanded, as in terms of compliance to requirements of import substitution for public sector, and in terms of the interest of the commercial sector, first of all regarding economy on licenses of the system software.

What requirements are imposed to EDMS by the modern customer? To what additional systems capabilities does he pay attention?

Pavel Kashtanov: To Sogaz Honey insurance company of Tatyana Knyazeva in article of the representative of our customer – the head of project office of the Office of the CEO " EDMS selection terms are very well presented by different user groups and, in general, the procedure of the choice of a new system on replacement of outdated is described.

In return I can designate the following technology selection terms of EDMS in the corporate sector:

  • The user interface, the basic principles of work in EDMS should be simple and clear
  • Architecture of the platform:
    • - work speed,
    • - flexibility,
    • - scalability,
    • - storage of files separately from the database
    • - readiness for high loads,
    • - work in the system of several geographically distributed legal entities (branches, DZO, DZK)

  • Integration opportunities
  • Search capabilities of documents
  • Electronic archive with a large number of documents
  • Work benches for setup of the solution
  • Effective remedies of business process management
  • Reference visits to customers with a similar profile of loading and similar functionality
  • Stress testing
  • Cost of licenses and works on implementation
  • Implementation project implementation terms

The major criterion is demonstration of examination of the contractor in creation of similar solutions on the offered platform. Especially it matters, so far as concerns creation of specialized, profile solutions, for example:

  • electronic archive of client and product files in bank, including processes of input of documents in EDMS,
  • processing system of credit requests (credit pipeline),
  • settlement processes of losses of different types of insurance,
  • archive of finance documents, archive of documents YuZDO,
  • archive of personnel documents, etc.

What projects executed for the last year, could you select? Than they are remarkable?

Pavel Kashtanov: In 2018 were executed or several tens of projects began in total. In the majority our projects are the large implementations in the government and commercial structures connected with simultaneous operation of hundreds and thousands of users and processing of a huge number of documents and processes.


Among the most important projects it is possible to select the beginning of an implementation project in State Corporation Rostec where Tessa was selected from quality of corporate EDMS on replacement of Documentum within the import substitution program.

After consolidation of banks VTB 24 and VTB the project the Electronic Archive based on Tessa gained development regarding processing and document storage of the retail block of the united bank, a number of new functional modules based on Tessa was brought into operation, the total quantity of documents exceeded 1 billion, and the number of active users reaches 40 thousand.

In 2018 Tessa was selected as the target platform for management of storage of electronic client documents of legal entities and physical persons from Gazprombank. The basic configuration of the platform is unrolled and the project on setup and implementation of applied functionality is begun.

The solution on automation of office-work based on Tessa in Concern VKO "Almaz-Antey" on replacement of old EDMS is developed and prepared for commissioning.

Tessa is also selected on replacement of old EDMS from Stroygazmontazh company, the project on migration is begun.

Besides, stages of implementation Tessa in Sogaz Honey companies, Global Ports, Soyuz bank, Rosbank, "Alliance Life", Agriko, Parkneft, DIA, etc. are completed.

Projects in Ingosstrakh Life, JSC RTI, JTI, PIK-Komfort and also some other began or proceed.

It would also be desirable to note several large projects of our partners.

PIK group – the project executes the Moscow partner – Target company, in a system more than 1000 users work, at the same time in Tessa except conventional processes the solution on management of approval of design documentation within which in a system work both internal employees of group, and external contractors is automated.

Novaport holding (Novosibirsk Tolmachevo Airport and 15 regional airports of Russia). The project is kept by our Novosibirsk partner – ESM Group Pro company. In a system several thousands of people work, the financial archive, a contracted work, office and integration sheaves with external systems is automated.

The Kortros group – the project in development company executes our Moscow partner - Doksmeyt company. The multiplatform web solution based on Tessa for process management of office, is implemented by approval of agreements, internal and office document flow, business trips, protocols and other modules is automated.
