Motor transportation plant controls work of cars with the help "1C:Enterprise 8"

On May 14, 2019 the company "1C: The first Beat" announced project completion on work automation Federal State Budgetary Institution Motor Transportation Plant Presidential Property Management Departments of the Russian Federation.

Vehicle fleet of Federal State Budgetary Institution Motor Transportation Plant as of May, 2019 contains more than 1,500 units passenger, trucks, buses and special equipment of different brands and models. The dispatching service which specialists regularly process is engaged in distribution of motor transport and create requests for vehicles. For timely and faultless accomplishment of orders it is necessary to plan accurately work of drivers, to trace free motor transport, to control transportation costs, timeliness of repairs and maintenance of cars. The staff of organization totals 3,000 people. Remuneration to personnel is calculated taking into account actually worked time, awards, different surcharges and allowances, for example, for overtime work, work in days off and holidays.

For increase in efficiency of activity the management of organization decided to implement an information system which would allow to optimize management of work of employees and motor transport. It was required to simplify and accelerate processing of requests and distribution of vehicles, to strengthen control over the implementation of orders and a consumption of fuel and lubricants. It was necessary to increase the speed of payroll, formation of personnel documents and the reporting, to provide operational management of points of a power supply of employees.

For the solution of assigned tasks systems on the platform "were selected by 1C: Predpryatiye 8": 1C: Motor Vehicle Management, 1C: Budget Institution Accounting and "1C: Payroll and personnel of public institution". The company "1C became the partner in implementation: The first Bit". The created system covered more than 150 jobs.

Key results of the project for May, 2019:

• Operational accounting of loading of cars and the current employment of drivers is organized. It helps managers quickly and to correctly distribute requests for transport. A system allows to appoint only free transport to order fulfillment, waybills can also be written out only on drivers in change and with free cars. It excluded errors and possible pads, orders are executed at the scheduled time.
• Planning of checkups and car repairs improved. Processing speed of primary requests for repair increased by 80%. Speed of issue of auto parts grew by repair twice. It allows organization to support all cars in good operating condition. Outages of technology because of faults are minimized.
• Processing speed of waybills increased twice. Errors at their formation and closing are excluded. Performance of operation of managers increased by 50%. Customers receive documents in time.
• Integration 1C: Accounting state "organizations" with the 1C: Motor Vehicle Management system significantly simplified work accountants: from 1C: Motor Vehicle Management in accounting system information on vehicles quickly arrives: garage numbers, general information, technical characteristics, including data, declarations, necessary for filling, on transport to tax. Accurate accounting of costs on each vehicle is organized. Control of a consumption of fuel and lubricants is strengthened. In a system the reporting on fuel consumption on the basis of which reexposure of costs is timely and precisely executed is quickly prepared. At the same time labor costs of accountant officers were cut by half.
• Human resources records management is organized. The salary to personnel is calculated twice quicker. In a system automatic creation of sheets on salary payment by territories, sources, banks and cash desks is implemented. Calculation of quarter awards taking into account actually worked time and allowances for accomplishment of especially important, difficult and urgent tasks is automated. The report on a remaining balance and reserves of holidays can be received clicking of one button in a system.
• Besides, in 1C: Budget Institution Accounting the mechanism of control of existence, an expense and sales of products in points of a power supply of employees is implemented. A system helps to create supplier orders, to control settlement and to keep quantitative and amount-based account of products. Exact calculation of actual cost of dishes is provided. Optimization of management of points of a power supply helps to manage competently costs and guarantees fast and high-quality service of staff of organization.
• The cost of service of an information system of organization fell by 35%, the saved money is distributed on other tasks, important for organization.
