2019: Implementation "Scan Archive"

On September 2, 2019 the GENDALF company announced completion of implementation of the Scan Archive program in Energiya LLC (Proletarsk).

The main areas of work of Energy - crop production and livestock production, transport logistics, production of bakery products, cultivation of wheat, barley, corn, sunflower, rice, soy. In staff of the company for September, 2019 it is more than 300 employees.

The variety and scale of work of Energy affected the number of documents which in a month increases approximately by 1 thousand. Paper registers in the company were not maintained, and documents stored in the big archive premises where one their search borrowed till several hours. Difficulties with storage and search prevented preparation for checks of regulatory authorities: each packet of the necessary papers had to be looked for manually, to do photocopies, to send and then to return originals on places.

Therefore in accounting of Energy began to select the program which would solve the collected difficulties. "Scan Archive" - development of GENDALF company for creation of electronic archive of documents became such program.

In accounting of Energy for September, 2019 12 people work, and before requests of documents from archive took away a lot of time from employees. The Scan Archive installation yeilded tangible results: now all documents are scanned and brought in base at once at receipt. Besides, only 1 person is engaged in this process and spends for it about a week within each 3 months. The electronic archive helps also with preparation for checks, and with work with partners: access to documents is at any time, it is only necessary to print the scan copy and to send on the necessary request.

For September, 2019 in "Scan Archive" a third of our current documents because we translate there only purchases accounts, consignment and commodity-transport notes. On sales did not begin to work with documents yet. But the program already shows noticeable results: began to store, find and provide on requests documents many times more simply and quicker.
