The network of Optima shops transferred TORG-13 to an electronic form

On October 3, 2019 the Directum company reported that the Optima retail network transferred TORG-13 to an electronic form using Synerdocs service.

The Optima company is large retail network of a format of a drogera, implementing goods for beauty, health and the house.

That deliveries of goods to sales points of partners were timely, Optima used services of the logistic company and together with it began to develop a set of the projects directed to improvement of business processes.

Before transition to electronic document management employees spent for "paper" work till several hours a day:

  • creating each delivery to sales points, the administrator made out a set of delivery notes on internal transfer of goods (in TORG-13 form), sorted by delivery addresses and transferred to completing points;
  • the picker sent documents together with goods to sales points;
  • the director of a sales point received packs of papers, after acceptance signed them, and after that transferred to signing to the head of branch;
  • then documents returned back on a warehouse.

Return of the signed TORG-13 on a warehouse averaged 2-3 weeks. Paperwork led to errors in document creation and to their losses, problems with movement of goods and other difficulties in logistics of the company.

To reduce labor costs by printout, sorting, signing and delivery of delivery notes, Optima and the logistic company addressed experts of Synerdocs.

Set two tasks — to save employees of a warehouse and sales points from a paper routine and to exclude losses of delivery notes on internal transfer of goods for a project team. Transition to electronic TORG-13 in Synerdocs service took several months.

Now warehouse workers prepare documents in the.PDF format and through service of exchange Synerdocs send to outlets. In read minutes heads of outlets and branches receive TORG-13 and can sign them with the electronic signature at once:

One more plus of electronic document management which we noted in practice — reduction of clerical expenses in warehouses. Economy on paper — from 80,000 sheets a month. At the same time housekeeping overheads of printers significantly decreased,
