2021: Automation of mandatory training of employees at Soglasie IC

The modular system based on Websoft HCM allowed the specialists of the insurance company "Consent" to structure the knowledge of employees and unify training materials, and managers to control and track the training processes of subordinates.

Over the past five years, specialists from the Corporate University have trained retail employees. They faced a number of difficulties: employees had different levels of knowledge and methods of working with clients, their managers had different ideas about working with subordinates, and training was organized quite difficult.

Task: to provide all categories of employees with the opportunity to undergo distance learning and use services that, in their functionality and interface, would fully meet the unique requirements of the company.

First stage

Retail channel experts and executives designed the business process and structure of the training program. Then this data was transferred to the specialists of the distance learning department.

Second stage

DO specialists have identified the main tasks:

  • 1. Exclude manual labor, but leave the opportunity to control the process.
  • 2. Create interfaces for managers to track which courses employees take, at what stage they are, what problems they face and what results they manage to achieve.
  • 3. Automate mailings with training information.
  • 4. Save the results of previously completed courses by employees.
  • 5. Set up the timing of the assignment of activities for all specialists, depending on their experience in the company.

As the basis for the new system, the project team chose modular programs and finalized them using custom solutions.

The third stage is frontend development

For users, three interfaces have been created that are adapted for mobile devices:

  • "My training program" for all full-time specialists with employee data and mandatory training: activity status, deadlines, results, links to courses.
  • Employee interface through the eyes of the manager: these are various reports on employee training, checklists, reporting on face-to-face activities.
  • "Waiting list," or "Accumulator" for a business coach to manage the automatic distribution of employees to training activities and use manual mode if necessary.

The fourth stage is backend development

The developers have created an agent that automatically loads modular programs. The business coach only needs to fill out the template in: file Excel name, format of activity, deadlines.

Activities are assigned as follows:

  • A scheduled server agent is triggered once a day
  • after passing the activities included in the modular program, the configured system events are triggered;
  • When an employee is assigned an activity (program, course, etc.), the manager receives a notification or reminder.

Results and results

  • The modular training system made it possible to structure the knowledge of employees, unify training materials, and automate a number of processes.
  • Managers received convenient tools to monitor the knowledge of subordinates and track their training.
  • The solution is used by more than 1000 people out of more than 4,500 full-time employees.

2018

Soglasie Corporate University holds about seven hundred training events annually for more than 5,000 of its employees. At the same time, there was a problem with notifying people about planned projects (employees often did not know about the training), recording those who wanted and forming waiting lists (employees recorded for events manually). The company needed to automate these processes.

The use of WebTutor, in particular, landing pages technology, made it possible to solve the task. Now the company's employees always know exactly where they can find the most up-to-date information about corporate university projects, as well as sign up for them. The system automatically displays the number of remaining empty seats for each event, generates waiting lists, allows you to divide those who have signed up into groups, etc.
