2019: Implementation of EDMS "Etla"
On October 18, 2019 the Atlas Soft company reported that the Regional fund of an overhaul of apartment houses of the Bryansk region began work in EDMS "Etla". Activity of fund of an overhaul is integrated to a stable flow of a different document type. Due to periodically arising problems connected with difficulty of storage of a large number of documentation and quick search of the necessary documents it was decided to automate this activity. For the organization of transparent document flow of fund by the management the decision on transition to electronic office-work was made. The implemented system had to meet to a number of requirements, namely:
- Existence of an opportunity to create uniform structure of storage and accounting of documents of fund with splitting for divisions and departments.
- Ensuring control and acceleration of process of approval of all document types.
- Ensuring control of execution of instructions.
- Process automation of registration entering and creations of outgoing documents.
- Existence of lungs and at the same time flexible tools for independent deployment and setup of a system.
- the Possibility of use of competitive licenses, for attraction of the maximum number of users to work in a system.
- The functionality of a system should not have conceded to market leaders of EDMS.
After the carried-out market research of electronic document management systems the decision on system implementation of "Etla" as it completely approached under required criteria was made.
During deployment and setup of a system specialists of fund independently:
- Created structure of storage of documents of fund.
- Registered users and created user groups with distribution of access rights to different parts of archive of documents.
- Created cards for all types of the documents stored in a system.
- Developed a number of routes of registration and approval of the entering, outgoing and internal documents in which involved the staff of different departments.
- Created process of automation of control of execution of instructions.
Creation of a common information space of fund due to formation of the general archive of documents and connection to work in the system of all employees of fund as taking part in office-work, and employees who need access to documents became result of transition to an electronic document management system of "Etla". At the expense of it work of office and general department many times became simpler. Interaction between departments of fund due to failure from transfer of originals from department in department and uses of automatic control of completion date of a task with notifications for each participant of processing accelerated. As a result of implementation of a number of business processes the management of fund had an opportunity to trace, in real time, execution of the instructions given them and on the basis of this information quickly to make decisions.
