Situation before workflow automation implementation

Implementation of 1C favorably influenced a situation with document flow at the enterprise. To system implementation "1C: Document flow CORP" all transactions with documents were executed on paper carriers that led to long, difficult controlled approval of documentation, duplication and loss of documents and also required considerable labor costs on search and the analysis of necessary information.

What tasks required the solution

The list of tasks for the solution which workflow automation implementation was required:

• safety of documents;
• establishing order in business processes and their optimization;
• creation of a system of approval of documents;
• exception of duplication of paper carriers;
• reduction of labor costs of personnel;
• automation on creation of reporting documentation.

The performed operations

In the course of implementation of electronic document management was:

• comprehensive examination of current situation of the company is conducted;
• the technical specifications with the detailed description of all subsequent settings of a system, format of loading of NSI, drawing and the description of routes of business processes are developed;
• types are configured and adapted in the system of a form of internal documents;
• automatic filling of printed forms of documents is configured;
• external printed form of Liszt of vising of documents is developed;
• the approved routes of business processes are configured;
• the user instructions, the instruction of administration of a system are developed;
• templates are developed for filling of an authorization matrix, methodical consultations on setup of access rights are held;
• resident group training of staff of the company is provided;
• consulting support in test and trial operation is performed.

Result

According to the results of implementation of project 1C: Document flow it is mentioned:

• acceleration of process of preparation of documents for procurement procedures;
• regulation and reduction of time for approval of agreements;
• exception of duplication of documents on paper carriers;
• improvement of performing discipline.

The project is complete, a system is put into commercial operation on April 20, 2018. As a result of implementation of the project 50 jobs are automated.
