For the purpose of quality improvement and optimization of conducting document flow of Agrisovgaz LLC by company management the decision on formation of the modern corporate information system covering all aspects of activity of the company was made.
For a possibility of use of seamless integration with the lC system implemented in the company : ERP Enterprise management 2, company management made the decision on automation of the 1C: Document Flow CORP software product.
To system implementation, document flow in the company was conducted on paper carriers that led to long, difficult controlled approval of documentation, duplication and loss of documents and also required considerable labor costs on search and the analysis of necessary information.
Proceeding from it, it was required to organize document storage in the unified information system, to ensure safety of documents, to arrange processes and to create the system of approval of documents, to exclude double work on introduction of data, duplication of documents on paper carriers, to organize accounting of actions and armoring of premises, to reduce the volume of manual work and to provide a possibility of problem definition and control of their execution. These tasks formed the basis of an implementation project of an electronic document management system.
As the partner in implementation the Project IT LLC company was selected.
In the course of implementation by Project IT LLC company, the following works were performed:
- comprehensive examination of the current document flow of the company is conducted;
- the technical specifications with the detailed description of all subsequent settings of a system, format of loading of NSI, drawing and the description of all routes of business processes are developed;
- loading of all normativnospravochny information, necessary for a full-fledged work, is performed;
- directory synchronization and seamless integration between 1C systems is configured: ERP Enterprise management 2 and 1C: Document Flow CORP;
- types are configured and forms of the logging-in, outgoing, internal documents are adapted;
- settings of maintaining archive in a system are made;
- automatic filling of printed forms of documents is configured;
- external printed forms are developed;
- the approved routes of business processes are configured;
- the current archive of agreements is loaded into a system;
- the user instructions (text and video instructions), the instruction of administration of a system are developed;
- templates are developed for filling of an authorization matrix, methodical consultations on setup of access rights are held;
- resident group training of staff of the company is provided;
- consulting support in test and trial operation is performed.
According to the results of project implementation it is mentioned:
- acceleration of processes of approval of documents;
- exception of double work;
- reduction of time for input and passing of documents;
- reduction of manual work;
- decrease in duplication of documents on paper carriers;
- improvement of performing discipline.
Thanks to this solution the uniform storage of documents of the company with access isolation was organized, there was an opportunity to keep account of actions and armoring of premises, the possibility of signing of uncoordinated documents is liquidated, control of paper document flow became simpler.
In total during the project 150 jobs are automated.
