The management of Non-State Educational Institution UTs "Samara" made the decision on need of implementation of an integrated automated control system. One of the main requirements to the implementable solution was existence of instruments of setup of functionality for each specific type of preparation and certification of specialists taking into account its specifics, the developed business process automation module and also change facilities of the solution which are not requiring skills programmirovaniyagk ACS-group there is a premium the partner of DocsVision, offered the corresponding concept of automation assuming step-by-step implementation of the uniform automated control system based on a software platform of "DocsVision".

In May, 2009 the first ("pilot") stage of implementation "DocsVision" in seven workplaces as a result of which the applicability of a system for the solution of assigned tasks was defined was completed. And in June the agreement on the second stage within which two directions of preparation and certification of specialists will be automated was signed.

Specialists of ACS-group Group together with key staff of Non-State Educational Institution UTs "Samara" formulated first-priority requirements to functions which a system should perform:

• Registration, storage, search and document handling on educational process with preserving of an image of any document in a registration card;
• Automatic creation of educational groups
• Automatic transfer of data from some registration cards in others;
• Automatic filling of printed forms of documents with data from cards;
• Report generation:
  • about the trained and certified specialists;
  • about a status of educational processes by types of training, groups, the organizations, dates, the training periods, etc.

• The automated calculation of training cost for the request;
• Automatic data transfer from the qualification certificate in a report form for STC Industrial safety.

The universal cards reflecting specifics of the directions of training, the automated DocsVision business processes, scripts and xslt-conversions were developed for implementation of above-mentioned functions. In particular, the software module distributing candidates on is developed for the solution of a task of automatic formation of group to the corresponding groups depending on a method of non-destructive testing for which the application was submitted.

It should be noted that the staff of Non-State Educational Institution UTs "Samara" in the course of creation of an automated system acts as the directors of tasks taking active part in accomplishment of all project stages.

Staging

• 1 stage (pilot project): Development of instruments of registration, search, and reporting on process of preparation and certification of specialists of non-destructive testing and technical supervision. Creation of a basis for automation of activity of Non-State Educational Institution UTs "Samara", including in the field of preparation and certification of specialists.

• 2 stage: Business process of preparation and certification of specialists of the non-destructive testing and technical supervision which is responsible for timely carrying out and documentation of the training actions covers all stages of educational process, starting with automated and finishing formations of group with registration and printing of the last document (certificate).

Results

• Decrease in labor input of routine operations on preparation of documentation accompanying learning process;
• Development of flexible reporting system on all stages of process;
• Receiving online access to information accompanying educational process for acceptance of effective management decisions.

Development perspectives

Expansion of a circuit of automation for scht inclusions of new users and types of preparation and certification of specialists will become the next important step in development of a system:

The solution is intended for automation of key business process of Non-State Educational Institution UTs – "Preparation and Certification of Specialists". System implementation is performed by 3 stages: 1 stage: development of instruments of registration, search and reporting under process of preparation and certification of specialists of non-destructive testing and technical supervision. Creation of a basis for automation of activity of Non-State Educational Institution UTs "Samara", including in the field of preparation and certification of specialists of Oil Company and TN. The 2nd stage: automation of process of preparation and certification of specialists of non-destructive testing and technical supervision. Begins formation of group (the automated creation).
