The solution is intended for: • organization of electronic archive; • optimization of routes, reduction of duration of approval of agreements; • providing the transparent mechanism of the movement of all documents in the enterprise; • organization of control of execution of documents. In the DocsVision system work with documents of the general office-work, specialized documentation – about 10000 units a year is organized, business processes "The organization of work with agreements", "Requests for acquisition of MTTs", Powers of attorney, "Substitution of employees" are configured. For convenience of input of documents the technology of barcodes is used, hand scanners of a barcode for search of operational and archive documents are offered. In the first stage of automation it is supposed to organize jobs to 200 users, generally it is upper managers, chiefs of departments, legal, financial departments and service of the administration. The subsequent automation provides increase in solvable tasks and jobs in the DocsVision system. Version: 4.3 Number of users: 50 people. The purpose of system implementation of electronic document management (EDMS) in Don Tobacco company was increase in controllability of business processes of the enterprise and reduction of time expenditure for work with documents. At the moment in the DocsVision system 300 employees of the enterprise work. The decision on implementation of EDMS DocsVision was made after the careful analysis of the systems presented at the market. The DocsVision system showed absolute compliance to the key requirements delivered by company management "Don tobacco": flexibility, simplicity of setup, high-speed performance, performance (processing of large volumes of documents) and also system scaling option.

Implementation and setup of a system it was performed by Intellectika company - the certified partner of DocsVision company and one of the strongest system integrators of the Southern Federal District. Specialists of the company showed the competence, both when holding the presentations, and at deployment of a pilot project.

The DocsVision system in Don Tobacco company was implemented within 6 months. The organization of electronic archive of documents of the company, reduction of terms of approval of agreements, providing the transparent mechanism of the movement of documents in the enterprise and also the organization of control of execution of documents became the main objectives of the project.

During the project specialists of Intellectika company carried out works on implementation of the DocsVision platform and setup of processes Office-work and Process management. Processes on work with different document types were in addition automated: agreements (approval, assignment of the rights, accession numbers), powers of attorney, orders, memos and incoming documents. For the translation of paper documents in electronic archive process of scanning and their subsequent barcoding is created. During the organization of the automated control of execution of documents by specialists of Intellectika company changes in contractual process and a technique of control of execution of documents were offered.

The common information space including electronic archive and an automated system on work with documents as general office-work, and with specific documentation became result of implementation of EDMS based on DocsVision (about 10000 units a year). The system implemented based on DocsVision allowed to optimize routes of the movement of documents in the enterprise, to increase transparency of the mechanism of the movement of documentation and to reduce time of approval of agreements.
