2020: Development of a subsystem of control and time recording of employees

Specialists of IT department of Titul publishing house developed a specialized subsystem of control and a time recording of employees on the basis of Docsvision electronic document management system. On February 13, 2020 the Docsvision company (DocsVision) reported about it. Now in a single system control and a time recording is made, 3500 memos a year are processed ~, the non-staff situations connected with otsutstviye of employees are analyzed. Integration of Docsvision with the system of protection Orion allowed to implement such daily control.

Titul publishing house - for February, 2020 the only specialized publishing house in Russia which publishes textbooks on English and educational literature in a printing and electronic form for the Russian educational institutions and a huge readership. Document flow and business process management of the company is exercised in an electronic document management system on the Docsvision platform.

The CEO of publishing house acted as the initiator of the project which purpose was to increase discipline of employees, more effectively to use their working time and to reduce excess time expenditure of personnel of HR department. In EDMS the electronic calendar of employees therefore during development decided to synchronize data already functioned and to provide their convenient storage in one place.

The configured subsystem provided daily control of working time on the basis of data on an input and an exit of employees from the enterprise territory. The working schedule in the form of the electronic business calendar of Docsvision is configured, data of monthly balance of working time and formation of the sheet of a time recording are automated; the memo about absence in the form of the internal document Docsvision is developed.

Control of a time recording of employees is made taking into account the individual working schedule of the employee and memos on absence (including business trips, compensatory leaves, sick absences and holidays). If the subsystem fixes an emergency situation – for example, an input and output not according to the schedule, absence on the worker during the time frame exceeding an admissible interval - it checks existence of the document permitting absence. If there is no such document - business process of Docsvision is started and to the employee the task about need of an explanation of the reason of a situation forms. Creation of the memo in EDMS is result. Annually about 3500 such memos form.

Using a system discipline indicators improved, sheets of divisions automatically form – thus time of personnel of HR department and accounting is released. Both documents, and business processes are accumulated in a single system based on Docsvision.
