On April 2, 2020, WiseAdvice announced that it had completed a project to automate payroll and personnel management at Polyus, a gold mining company in Russia. The 1C : Salary and Personnel Management 8 CORP system covered 1200 jobs in 32 geographically remote divisions of the company. The methodology of personnel administration was unified, the calculation of salaries for personnel was centralized. Reduced the time for daily registration of more than 1200 personnel documents. Salaries for 18,000 employees are calculated 30% faster.

According to the company, the salary of personnel is calculated taking into account many different indicators - working conditions, northern allowance, work on weekends and holidays, awards and length of service. Foreign employees and employees of retirement age are registered, the rotational method of work is used. The daily personnel document flow of the group is more than 1200 documents.

Earlier, separate information bases in different programs on the 1C: Enterprise platform were used to record working hours, personnel administration and payroll in 32 front offices of the company. No uniform methodology for payroll calculation and payroll accrual was adopted for business units, which made it difficult to consolidate personnel statements.

The company's management decided to centralize the functions of personnel accounting and payroll on the basis of a single multifunctional center located in Krasnoyarsk.

To do this, it was necessary to unify the methodology for personnel administration and payroll calculation, organize centralized maintenance of a list of types of accruals and deductions and other regulatory reference information, and speed up the receipt of consolidated personnel statements.

To solve the assigned tasks, the system "1C: Payroll and HR Management of 8 CORP" was chosen. Since the company operates in several time zones and the difference in the time of operation of departments is 4-8 hours, special attention was paid to indicators such as speed and availability when choosing a system. The implementation partner was WiseAdvice.

For a year and a half, the system was deployed at 1200 workplaces in 32 units.

Key Project Deliverables:

  • The methodology of personnel administration and payroll has been unified and optimized. All divisions of the company now keep personnel records and accrue wages in the same system and according to the same rules. Payroll for 18,000 employees, taking into account various criteria, is carried out centrally and takes no more than two days, previously it took six days;
  • The formation of estimated salary liabilities and reserves is automated: reserves for vacation and travel on vacation, for the payment of remuneration for the year and for long service, for the payment of quarterly bonuses and bonuses for participation in the project, as well as reserves with actuarial valuations;
  • Payment and deduction type templates are managed centrally. This made it possible not only to prepare personnel administration processes and payroll calculation for outsourcing, but also to reduce the labor costs of personnel accounting specialists by 30%;
  • "1C: Payroll and HR Management" is integrated with 13 related systems. For example, in "1C: Hotel" data on the status of proxy cards issued to employees are loaded from the system, and from "1C: Motor Vehicle Management" - data for calculating piecework wages for drivers. This minimized the manual transfer of data from the program to the program. In addition, about 50 checkpoints are set up in 1C: Salary Human Resources to check the correctness of accounting information. This significantly reduced the number of errors in the execution of primary documents.
  • The preparation of the consolidated personnel statements has accelerated by 2 times.

The development and implementation of the APCS on the basis of 1C: Payroll and HR Management KORP allowed us to achieve our goals: we unified the system processes of personnel accounting and payroll calculation and got the opportunity to comfortably output the functions of personnel accounting and remuneration of personnel to MPSC Polyus. As part of the development of the system, we plan to complete the automation of the processes of planning the number of personnel and the wage fund.
