The Samara System company which is engaged in construction of facilities in the field of primary and secondary processing of a hydrocarbonic raw material in the Samara region constantly aims at expansion of opportunities of the enterprise, improvement of quality of the performed works and improvement of management processes, as much as possible using modern technologies. Adhering to the concept of development, in 2019 the decision on system implementation of electronic document management of ETLA which will allow to transfer internal processes of the company to other level of efficiency was made. On April 21, 2020 the Atlas Soft company reported about it.

Also because of a large number of the current project and work documentation the company faced a problem of the organization of storage and quick access to them.

The Etla system attracted with such qualities as flexibility, usability, setup and adaptation of a system, lack of restrictions for types of the stored documents. Fast and independent system implementation by forces of specialists of the customer was also very important factor.

System implementation of electronic document management it was going to solve the following problems:

  • Provide control and acceleration of process of approval of all document types.
  • Provide control of execution of instructions.
  • Create uniform structure of storage and accounting of documents of the company.
  • Set access rights to users and user groups to the necessary segment of archive.
  • Automate process of registration entering and creations of outgoing documents.

During implementation of a full stroke of setup and implementation specialists "Samara System":

  • Created transparent structure of archive of documents to which all working documents according to completed projects in the scanned type and also all internal documents of the company were transferred.
  • Registered users and created user groups with distribution of access rights to different parts of archive of documents.
  • Configured rules of automatic numbering of the entering / outgoing documents, orders, orders, powers of attorney.
  • Developed a number of business processes of registration and approval of documents.
  • In the report generator constructed necessary reports.

As a result of system implementation processing and approval of all document types many times accelerated. The company management received the simple and evident instrument of control of accomplishment of the instructions, and responsible persons received the broad picture of processing of documents in real time.
