Uralsvyazinform (EDMS)

In September, 2008 connection of Uralsvyazinform branches of JSC to the electronic document management system (EDMS) on the EMC Documentum 5.3 platform came to the end. The CORUS Consulting company acts as the contractor of project implementation of implementation of EDMS.

Implementation of EDMS in JSC Uralsvyazinform – one of the most large-scale projects of workflow automation in telecom industry. Today in the system of the operator of communication services of the Ural Federal District and Perm Krai more than 3 thousand users – from specialists to top managers work.

Replication preceded the most large-scale in Russia stress testing of EDMS which took place in September, 2007 in a benchmark center of company SUN Microsystems, Inc., (Manchester, Great Britain). In March, 2008 was trial operation of an electronic document management system in general directorate and MFIST of JSC Uralsvyazinform is launched and is begun.

In May-June, 2008 EDMS v3.0 was started in four branches of the company in the cities of Yekaterinburg, Perm and Khanty-Mansiysk. The second wave of implementation came to the end in the middle of August. At this stage the Tyumen and Yamal-Nenets branches were connected to corporate EDMS. Within the third wave system implementation in the Chelyabinsk and Kurgan branches was carried out.

The main result of project implementation – implementation of electronic document management allowed to unify and standardize the procedure of consideration of documents, to provide transparency of passing of each document and to adjust observance of regulations on execution of documents. The created system automates the business processes of the company connected with processing of all entering and outgoing correspondence, with support of complete lifecycle of organizational and administrative and directory documents. Creation, approval, signing, registration, mailing and archiving of organizational and administrative and directory documentation is conducted in electronic form. At the same time thanks to electronic archive search of the necessary documentation accelerated much, and the cost of maintaining archive fell by 80%.

As a result of accession of Uralsvyazinform company to JSC Rostelecom the electronic document management system implemented by earlier Ural telecom operator is transformed to EDMS "Ural".

Since April 1, 2011 the array in which documents are registered changed: now registration happens in an array of Macroregional branch "Ural" of JSC Rostelecom. As a result of consolidation of two companies about 600 new users were connected to EDMS, thus, their total quantity reached 7300. At the same time physical and program infrastructure of EDMS remained the same.

The electronic document management system Ural is implemented on the EMC Documentum platform by CORUS Consulting system integrator. On average in a month in a system more than 30 thousand documents according to which more than 50 thousand instructions are issued are registered.

All documents registered until consolidation are carried to documentary fund JSC Uralsvyazinform. For all the time of work in EDMS of Uralsvyazinform company more than 9.5 million objects were registered, tasks, instructions, etc., the electronic volume of information accumulated in a system exceeded 1.5tb.

Became EDMS JSC Uralsvyazinform the advanced development which analogs appeared further and in other regions of Russia – specialists in the organization of document management of the enterprise emphasize. The director of the department of the administration Nadezhda Makerova notes: "The solution for the first time implemented in Uralsvyazinform company was replicated further in other large geographically distributed companies, including, in telecom industry: VolgaTelecom, Bashinformsvyaz, "Southern Telecommunication Company".
