The 1C: Accounting and Trade company (BIT) automated accounting and management of the large producer of veterinary medicines of the Central Chernozem region – Agrofarm Company. The enterprise is engaged wholesale both in retail in veterinary medicines and tools through own regional network of drugstores and wide network of partners. A common information space is created based on the solutions "1C: Trade Management 8", "1C: Accounting 8" and "1C: Payroll and trade management". During the project more than 45 jobs were automated. The main project deliverables – reducing costs for management of retail network, improvement of control of relationship with debtors, fall forward of preparation of the regulated reporting for 30%, optimization of management of warehouse stocks. During the course of performance works the following sections were automated:
- Purchase management;
- Sales management;
- Inventory management (inventory control);
- Cash management (cash desk and bank);
- Management of settlement with partners;
- Payroll;
- Accounting and personnel records.
Data exchange between 1C: Trade Management 8 and 1C: Accounting 8 is configured that allowed to transfer functions on input of primary information from accountant officers directly on places of emergence of data. As a result of leaving from double entry of data the risk of emergence of errors is minimized. Quickly obtained reliable data are used for formation of the regulated reporting which speed of preparation increased by 30%.
Within the unified information system specialized The Automated Jobs (AJ) are organized that allows to concentrate "in one window" all functionality of a system, necessary for the user. So, from "an automated workplace of sales office" it is possible to work at the same time with five customers, to quickly browse the prices, remaining balance and the number of the next expected supply of medicines. In addition, an opportunity to postpone the order for decision-making on its complete set later is provided. In same "automated workplace" the manager browses data and on the arrived payments, a status of shipments by orders, goods receipt according to the request in department of supply.
Special attention in "the automated workplace of sales office" is paid to control of receivables of customers. In a form, convenient for the manager and the head, data on the general and arrears and also about debt which repayment period comes next day are output. It allows "remind" timely the partner of a debt and helps Agrofarm company to reduce receivables volume.
Agrofarm is feature of business management of several warehouses. All goods in warehouses are distributed on storage locations. Creation of a common information space for the staff of different departments allowed to unify the reference information and to provide centralized operation with data and also to receive authentic data on stocks in warehouses by series, terms and storage locations of medicines. It allows to reduce considerably time of completing of shipment of goods according to issue documents. In practice it looks so that the warehouse manager sees so-called Assembly with the list of the shipped goods, assembly is printed separately on storage locations. Each warehouse worker receives such printout and collects the part. Here, in Assembly, the manager has an opportunity to make corrections on the volume or series of goods that will be automatically displayed in the previous documents. As a result the effective management of warehouse stocks significantly increased, to work with orders now much more conveniently.
Use the automated workplace "Network of Drugstores" allows:
- select goods for the reference book of goods;
- select goods for the preliminary application of drugstores simple "drag and drop" of the request in a window of formation of the order;
- complete drugstores on the basis of the "commodity matrix" which is previously created using the Data analysis mechanism of programs 1C;
- create all necessary document package for supply of drugstores "by one button";
- reserve goods, make out transactions on the preliminary application of buyers created in remote drugstore.
Work in retail outlets (drugstores) is also organized on the basis of an automated workplace: "The automated workplace of the pharmacist – the cashier" allows to print certificates on medicines that is convenient for providing this information on a request of buyers. It is also possible to pick up goods as manual selection for the reference book, and using the barcode scanner, to add a discount on the discount card or to register the new card, to issue both sale, and return of goods, to close cash change. "The automated workplace of the pharmacy manager" allows to create "procurement" of future document "Check of the CR", it helps to increase service rate of buyers in "rush hours". Here the request for goods for the central office forms, the arrived goods are credited, documents for electronic exchange form. Without leaving an automated workplace, it is possible to browse archive of arrivals of goods, archive of checks of the CR and in details to analyze results of sales.
Thanks to 1C:Enterprise 8, the single system of pricing allowing to react quickly to change of purchase prices of suppliers is implemented. It is necessary to avoid the "uncontrollable" change in price. At goods receipt the analysis of change of purchase prices is carried out and the "predicted" retail price which is compared to existing is calculated (price monitoring is conducted constantly). The user has an opportunity independently, taking into account price level in the regional market, to solve to what goods it is necessary to change the prices. The updated price list is sent in retail outlets, and use in drugstores of the mechanism of tasks will not allow "forget" about the change in price.
It is important for Agrofarm company because the network of drugstores works in the different cities where the prices differ from each other. For example, the pharmacy manager in Lipetsk sees in a single system information on increase or drop in prices in Voronezh, compares the new price to "local" and makes the decision on the change in price in the drugstore.
Besides, during the project works for integration with retail network were performed: data exchange with drugstores is configured in such a way that delivery notes on shipment of goods, after their complete set in a warehouse, are unloaded on the FTP server of the company. From it sales statements and orders for replenishment of a trade inventory daily come to the central office, it allowed to exclude double entry and to considerably increase information processing rate.
In general implementation of 1C:Enterprise 8 allowed Agrofarm company to optimize costs and to increase effective management of retail network.
