The volume of cash document flow of Tom Tailor company only with own retail network is for September, 2020 over 230 thousand documents annually. To automate work, the company decided to transfer cash document flow to an electronic format. It was also important to achieve other goals: reduce finance costs, accelerate processing and delivery of documents.

In a translation result of cash documents in an electronic form of the purpose of the company were reached. So, annual costs for document flow decreased by 2.7 million rubles. Now documents — the cash-book, the cash receipt order, the cash payment order — automatically form in base of shop and go to head division. Document handling accelerated: the accountant checks only their existence, but not filled fields. Also management of the considerable volume of document flow was optimized. In the closest plans of the company — to transfer the most part of partners to e-document flow and to organize electronic archive.

For the retail companies it is especially important to simplify work with cash documents, about 60% of the total amount of document flow are the share of them. Therefore we decided to focus on increase in process performance in retail. So, the tasks were set: simplify work with cash documents for the staff of shops, accelerate processing, storage and search of documentation for accountants. With the module for 1C we optimized the processes, created templates for all cash documents and organized transfer to the Diadoc. After implementation cash documentation is completely transferred to an electronic format, and we are going to look for opportunities for work simplification.

Before official start of cash documents in the Diadoc for Tom Tailor we tested e-document flow on two divisions. It helped to determine terms of a project startup and to be prepared for adequate translation on e-document flow of other divisions. The fast result managed to be achieved thanks to support of colleagues from Tom Tailor. They independently prepared video tutorials and instructions for employees. Joint efforts helped to achieve the goal. Now at the end of the working day it is enough to load all necessary documents into the Diadoc, to sign and send.

Further the Tom Tailor company is going to transfer the most part of partners to e-document flow. 99% of buyers already work with electronic documents, now there is an active connection of suppliers. Also the organization of electronic archive for internal and external documents is planned.
