2022: Expansion of functional capabilities of Saint Petersburg Bank intranet
KORUS Consulting Group announced on August 22, 2022, the expansion of the functionality of the intranet of St. Petersburg Bank, adding tools for recording working hours. Thanks to the improvements, it was possible to implement schedule planning, reduce the likelihood of errors and make the process more transparent and manageable.
With the growth of the business, it became more difficult for the bank to manage the working hours of personnel from different branches: to build and compare schedules, comply with standards, form reports and coordinate changes. The bank's management decided to expand the functionality of the already implemented corporate portal on the 1C-Bitrix 24 platform. The specialists of KORUS Consulting were invited for implementation - earlier the companies jointly supplemented the platform with the modules "Knowledge Base" and "Employee's Personal Account."
A joint team of specialists from KORUS Consulting and the bank investigated internal processes, analyzed the needs of personnel and management. Based on the results, we developed a time and attendance form, set up the procedure for approving changes, automated the process of familiarizing ourselves with schedules, and added the ability to upload reports based on the entered data. For convenience, filters were set up - by department, individual employees, positions, statuses and months. When you change existing schedules, the system automatically checks them for compliance with the standards.
This module uses the functionality of the personnel workflow system "1C: Payroll and HR Management," which was integrated with the portal in the previous project. Employees and managers sign work schedules directly in the system and, if necessary, upload reports in Excel format.
The decision made it possible to reduce the time for planning and managing the work schedules of bank employees, to minimize possible errors and "intersections" of shifts. Managers monitor workload and changes, monitor compliance, approve work schedules electronically, and employees review and sign them.
The KORUS Consulting team continues to expand functionality and develop the company's corporate portal by introducing updated useful modules. The employee time accounting system is an important step towards the effective functioning of all divisions of the bank that ensure its work around the clock. All information and regulatory documents of the bank were stored in different sources, which created difficulties in the work. For example, employees spent daily time looking for up-to-date instructions and regulations. And due to the large territorial distribution, the company spent large resources on the registration, collection of signatures and the maintenance of paper archives (applications, orders, regulations, etc.). The Bank wanted to create not only a unified information store for the entire branch network with the possibility of end-to-end search, but also to provide electronic personnel document management. KORUS Consulting proposed to finalize the existing corporate portal based on 1C-Bitrix 24, the interface of which is already well known to employees, with the Knowledge Base IT solution. IT company specialists systematized the bank's regulatory documents, created a tool for quickly searching for information and provided employees with the opportunity to refine the stored knowledge.
The bank conducted a survey of how much this functionality is in demand by employees. About 90% of the company's employees regularly turn to the company's knowledge base several times a day, and its most active users are contact center employees. The use of the IT solution helps to centrally store and update data for employees of the entire branch network. After the creation of a unified system for storing regulatory documents, Bank St. Petersburg began introducing electronic personnel document management. The project team created an electronic archive of documents and an acquaintance log, developed a personal account of the employee on the basis of the 1C-Bitriks24 corporate portal and configured integration with 1C: Payroll and HR Management HR management system. Now employees can familiarize themselves with internal regulatory and information documents and certify them with an electronic digital signature.
The ability to create, sign and store documents in electronic form significantly reduced the labor costs of employees and saved consumables in colossal volumes - the bank employs about 4 thousand people, and signing just one document by all employees in full-time format cost the company an average of 1 million rubles.
