Department of corporate information systems of ALP Group (ALP-IS LLC) — the Russian developer of the IT solutions for management of the large commercial and state organizations based on software products of 1C – made the internal IT development "The passport of the project" a crucial element of technology of Lean production. It became known on October 8, 2020.

Within the last several years of ALP actively uses own BI-applications for quality improvement of operational management. First of all, it is such modules as: "Profitability of the project" (reflects data of an ACS, with a possibility of quick search, filtering and receiving analytical indicators); "The head's monitor" (project managers have an opportunity to see indicators on the projects, curators – on project groups; support of several rates on one project for calculation of costs the plan/fact is also implemented); and "Passport of the project". Recently the BI module ALP – "Monitor of the Resource Manager" also is put into trial operation. All of them serve as a user-friendly information and analytical interface to the uniform ACS containing primary basic data.

"The passport of the project", a BI-application of ALP, provides to company executives and managers exhaustive data on each project: the installation documentation prepared according to internal regulations of the company; implementation terms; preliminary estimate of planned activities; actual costs and their deviation from the estimate on a color scale "green, red, yellow". Thus one of managerial tasks – creation of a uniform point of reliable, comprehensive significant project information is solved. Besides, automation of process of collecting and consolidation of such data in the application practically excludes incompleteness of data and their mismatch to corporate regulations.

The Passport of the Project application includes several sections which help users to receive necessary data and analytics in the most convenient form. So, the section "Project terms" on each stage (inspection, drawing up terms of reference, directly development, trial operation, transfer to the customer to commercial operation) contains obligatory documentation – problem definition from the client, results of inspection, technical specifications, etc. Thus, on each stage of the project there is available information on when he was begun, complete, given to the client who was responsible for each stage and so forth.

For control of the overall level of project implementation the section Quality is created. Its feature is that it is under construction on the basis of responses of customers and estimates of project managers. Such responses become in a predefined format, are followed by the corresponding motivation and are without fail brought in a system. For example, the head can note that "The task is not carried out in connection with mismatch to requirements of the customer". This process allows to accumulate history on each employee and to monitor his "correction of mistakes".

One more important component "Passports of the Project" is the section Risks. It is implemented based on functionality "1C: Holding Management" and integrated with a corporate subsystem of an ACS. According to regulations, information on project risks is kept on each stage, and in the passport of the project the analytical report is displayed. All risks are separated into several categories. So, top level (financial) risks see only the curator of the project and company management. They make the relevant decisions which through BI are led up to the project manager, and, according to these solutions, it can adjust work of the command. Other category – operational risks which are fixed by already project manager. For example, it can occur in case of any incident. Such risks require more quickly reaction, information on the planned and perfect response to an incident also without fail migrates in "The passport of the project".

Besides, "The passport of the project" is a part of a BI-application the subsystem Releases describing under what task this or that release, documentation to it was released and also whether was returns because of bad work of the version and whether at once the customer of change accepted.

At last, at a stage of support of the project the section "Assessment of processing of addresses" where the quality of request processing is estimated (on a five-point scale) is used. At the same time, using this module the head can see estimates of employees (by projects and addresses). All this information (along with data from the resource manager on respect for the principles of lean production) is used both at certification of individual employees, and for job evaluation of a project team in general.

"The passport of the project", as well as other BI modules, is implemented in the form of the web client, and access is possible both from office of the company, and via the remote terminal. At the same time differentiation of access rights works – so-called "role model" when the curator and the project manager see only the projects, but not projects of colleagues is implemented.
