2020: Profitability analysis system implementation

The universal logistic operator PONY EXPRESS implemented a profitability analysis system on a domestic cloud platform of Optimacros. The ADE Professional Solutions company acted as integrator. It became known on October 15, 2020.

The main functionality of a system – allocation of costs on analysts of revenue. It allows to obtain cost information for carrying out detailed profitability analysis.

Monthly cost data from the 1C: Accounting system and also data from the corporate data warehouse are loaded into the system of distribution. A basis is revenue which can be expressed in monetary and natural value (load kg, the number of delivery notes, etc.). Indicators of revenue are drivers of distribution. On the basis of the loaded data on revenue and also the made additional settings a system calculates a matrix (a multidimensional cube) of coefficients of distribution by different analysts of revenue. Costs are distributed by application of the received distribution coefficients.

Results on a monthly basis are transferred for the subsequent analysis, creation of the reporting and use in acceptance of management decisions.

Characteristics of the project which managed to achieve:

• Minimum system time of distribution: process from the beginning of import of data before export and readiness of data for the analysis takes several minutes.
• The scalability and flexibility of model allows PONY EXPRESS to connect quickly in distribution perimeter the additional companies and divisions, to consider the changes happening in accounting, to make changes and to add different types of drivers of distribution.
• Distribution of initial data of the costs which are available in accounting by 6 analysts of revenue – a type of business, service, a type of a route, category of weight, a contract type and currency.
• An opportunity to set distribution options for any cost item of any department / division of each of the company entering into group.
• Accomplishment of distribution for more detailed entities, than available in accounting. For example, staff costs can be broken on categories of personnel and to execute distributions by drivers, unique for each group of personnel.
• Existence of thin settings and exceptions for a certain period in which it is necessary to distribute data by the method differing from basic.

Originally PONY EXPRESS was selected the Anaplan platform which allowed to create flexibly and quickly enough a solution architecture. With the advent of the domestic solution we were reoriented on the Optimakros platform which was selected by the following criteria: In an unstable situation with the increasing threats of sanctions against the Russian Federation and the domestic product looks more fault-tolerant concerning risks of sudden shutdown of access to resources and support. Within expansion of perimeter of use of data of the requirement to security and safety of data continuously increase therefore it is important to have a flexible solution. It is the system of the Russian production having architecture, similar to Anaplan, syntax of functions and simple development process which can be performed by independently advanced users. It allowed us very quickly and without serious consequences to export on it already almost ready system. Optimakros it can be unrolled not only in a cloud, but also on own servers of the customer. Such flexibility allowed to create and test a system without presentation of additional requirements to infrastructure, and after project completion to migrate on the customer's servers. It allows us to correspond requirements of customers which do not suit a foreign cloud both on safe criterions, and according to requirements of the Russian legislation. The domestic manufacturer can be much more flexible in issues of pricing that is very important in the conditions of a modern economic situation.

As a result of system implementation we managed to replace traditional means of Microsoft Office at profitability analysis. It allowed PONY EXPRESS to increase accuracy and to reduce time of allocation of costs therefore we had an opportunity to apply profitability analysis of deliveries to the managerial purposes and cost optimization. Optimakros allows to solve assigned tasks as fast as possible. I want to note flexibility of a system and efficiency in vendor interaction. Having taken the first steps, we determined the new purposes by expansion of scope of application in processes of financial and managerial analytics. It will allow PONY EXPRESS to receive without additional costs necessary cuts of analytics at change and expansion of volumes of business. For us the fact that for the purpose of economy of means we can perform technical support and system maintenance by own forces became especially important. The required volume of training was minimum.
