2020: Implementation "1C: ERP Enterprise Management 2"
On October 29, 2020 the company "1C: April Software" announced project completion of complex automation AYR LLC (ERA Group) based on "1C: ERP Enterprise Management 2" (further 1C:ERP). A system covered all processes of the enterprise and promoted acceleration of obtaining the management reporting for 20% for decision making on further promotion of the company.
According to the company, active market promotion of the EU and the competition regarding the products ERA Group required automation of organizational and managerial tasks for operational decision making.
At the time of start of the project on implementation of 1C:ERP processes of the enterprise: conducting sales and shipments to large customers, an inventory control of finished goods and materials, production, planning, accounting and tax accounting, were in whole or in part automated with the help "1C: Manufacturing Enterprise Management" (further 1C: Manufacturing Enterprise Management). Besides "1C: Integrated Automation" for accounting of activity of Trading House AYR LLC was used. Spreadsheets were actively applied.
Work in separate software products did not give a uniform complete picture about functioning of the company. Implementation of the updated information system had to optimize transparency of processes and allow to react quickly to market changes. Also this system - 1C:ERP - was selected with development perspective: workflow automation (maintaining and approval of requests for a funds expenditure, accounting of agreements) was planned, and a system which has convenient mechanisms of integration into the 1C: Document Flow CORP program was necessary. Also budgeting automation therefore a system should have convenient functionality for expansion in this direction was planned.
ERA Group made careful selection of the contractor on project implementation. 1C Company was as a result selected: April Software from Nizhny Novgorod. The territorial remoteness (ERA Group is in Ryazan) did not become an obstacle for one of the parties. 90% of project works were carried out far off without presence of a team of implementers in the territory of the enterprise of the customer.
Of course, as well as to most of managers, top managers of AYR the company wanted to perform transition to a system one step: yesterday worked in an old system (1C: Manufacturing Enterprise Management), and in the morning came and began to work in new (1C:ERP). But between this important managerial day layer of preparatory work lay: creation of the concept of work in the updated system, transfer of information, input of initial data, personnel training. Therefore on the project went on the way of phased transition, having organized double-sided exchange of 1C:ERP with 1C: Manufacturing Enterprise Management for support of the blocks which did not pass into 1C:ERP yet.
The project was separated on degree of complexity of implementation and a circuit of program 1C:ERP – in classification of the consumer of data – the internal client and external.
Such approach completely was repaid: external users did not feel transition processes in the company. Forces were distributed until the end of the project. At the expense of the configured exchanges double entry of data was completely excluded.
The project consisted of the next stages:
- 1 stage – start of the Payroll calculation block and personnel records
- 2 stage – start of the Management of Warehouses blocks, purchases, sales, money. Double-sided exchange of ERP with management of manufacturing plants was made for support of work.
- 3 stage – start of the Production block
- 4 stage – start of Regulated accounting
At the last stage ERA Group completely passed to a 1C system: ERP. Exchange with 1C: Manufacturing Enterprise Management was turned off.
Project deliverables which managed to be reached for October, 2020:
- The SALARY AND PERSONNEL block - began with it implementation process. The 1C:ERP program allowed not only to automate payroll calculation, but also to change approach to the personnel reporting. All information on the personnel is in a system, the number, personnel movements, a remaining balance of holidays just is considered, the analysis of the staff list and regular arrangement is made, working time is considered (including operating time in days off and holidays, the additional days off).
- SALES block. It is based on the previous system. Arranged structure of the reference book "Clients". Facilitated work on settlement and control of receivables, organized work with clients who have the affiliated companies. The trading house is decided to be left in the 1C: Integrated Automation program 2. And for simplification of data entry on mirror processes bilateral exchange of the 1C:ERP and 1C: Integrated Automation programs was implemented.
- PURCHASES block. Work on planning of long-term orders taking into account delivery dates became more convenient. 1C:ERP allows to plan for certain dates and in the necessary quantity. The management can quickly control supplier orders. A system allows to check and approve the plan quickly. Earlier planning of the weekly diagram of arrival and drawing up the schedule of unloading windows on acceptance made about three working hours of the procurement expert (plus often forgot to enter the diagram), no more than 20 min. on check, amendments and approval as the diagram in a system already is are required now.
- INVENTORY CONTROL block. There was a simplified diagram on tracking of the orders transferred to a complete set and also the completed orders. Configured reflection of goods in way. At implementation exchange of 1C:ERP with a 1C system was organized: WMS Logistics which is applied in a warehouse complex. The scheme of exchange regarding the product delivery and receipt of inventory items for resale was implemented. Simplified diagrams of shipment. As a result in a single system all information after the warehouse movement Inventories, including information from a logistic complex is visible. Processes of an inventory control both for self-produced products, and for purchased for sales of goods are also unified.
- "PRODUCTION AND COST ACCOUNTING" block. Production accounting was automated according to requirements of AYR the company. The regulations on introduction of the normative reference information of the production block are created. In 1C:ERP production is registered, work in progress account is kept, the spent materials are reflected. Automatic accounting of development of the equipment on the basis of documents of release is also organized. For convenience the scheme of interaction with the 1C: WMS Logistics regarding reflection of release and receipt of finished goods on a warehouse is implemented. Cost value of product output according to a tree of specifications is calculated.
- Block Treasury. Thanks to a 1C system: The ERP company of AYR passed to an electronic form of requests for payment. The functionality regarding submission of the request was redistributed. Now reporting happens in real time. An opportunity installation of limits of a funds expenditure is convenient. The request cannot be created if the limit is already reached.
To me as to the chief financial officer this block as the price of acceptance of management decision depends on it is extremely important. For example, seeing all requests for acquisition of currency and knowing about hanging of currency rate, we can react and make quickly purchase of currency a little earlier, than it was necessary according to the diagram. Earlier we also worked according to this scheme, but processing of all requests took a lot of time. |
For October, 2020 based on 1C:ERP all processes of ERA Group are automated. A system is unrolled in 105 workplaces.
Selected project technologies was repaid. The customer achieved the implementation goals, having received completely documentary and approved with it complete system in 1C:ERP and also could review and optimize many processes of the enterprise during implementation. Phased transition allowed to retain control over the enterprise at minimization of load of users.
