JSC Provincial Drugstores was passed to electronic archive of documents. On December 1, 2020 the company Gendalf reported about it.

Structural divisions of Provincial Drugstores company are located across all Krasnoyarsk Krai and in the Republic of Khakassia. These are the round-the-clock drugstores, small pharmaceutical points, veterinary drugstores, salons of optics and orthopedics - all their about 360.

Such large company accepts very big flow of the entering primary documentation. Requests on their providing often come to the central office. Find documents manually and scan – very labor-intensive process therefore in the company asked a question of implementation of electronic archive long ago.

After search on the Internet the choice was stopped on the Scan Archive program, development of GENDALF company. Among other offers in the Scan Archive market approached on technical characteristics and cost. The program will recognize documents according to details and special barcodes and attaches scanned copies to cards in 1C base. Thanks to it scans of any documents can be found directly in base and to unload in one click. Operational collecting of documents allows to reduce risk of receiving penalties at timely reply to the requests.

With implementation "Scan Archive" in the company started digitization of paper documents. Already most part of paper documents is transferred to electronic archive.

The new program simplified work of structural divisions of pharmacy chain. Earlier they had to keep documentation in triplicate, and now drugstores transfer only one copy of paper documents to the central office where they are scanned and load into "Scan Archive". It will allow to free premises which temporarily used for storage of documentation.

Main advantages of the implemented program: automatic recognition of the documents loaded into "Scan Archive" and automatic unloading of primary documents within the signed agreement with formation of the inventory. Before implementation of electronic archive it was necessary to come into each document in 1C to unload the file attached to it. Besides, when loading in electronic archive we mark all scans which are issued in an inadequate way.
