The IT company Krok and the developer of the Atach document management system on June 23, 2021 announced the signing of a cooperation agreement under which they will jointly promote the solution to the market. According to the parties, the combination of technological expertise in the framework of the partnership will allow to offer a wide range of companies a product that meets the requirements of a digital enterprise.
SED "Atach" allows you to automate the entire range of tasks for working with documents. The product has an online chat for faster communication, a search service and the function of editing a document in a single window. Thanks to the application, managers can quickly coordinate and sign documents from anywhere and from all devices - PCs, tablets, smartphones running iOS, Android. Thus, the system optimizes the time of employees at all levels, especially top management, and allows you to monitor the execution of orders. "Attack" can be operated under almost any load and number of users, while the processing time of the operation in the system does not exceed 200 milliseconds, the developers say.
As of June, SED is used in more than 60 societies of PJSC MMK"," totaling more than 11,500 users and processes more than 2 million documents per year.
The developers of Atach and the specialists of Krok have many years of experience in cooperation in the field of information technology. Head of ATACH product Dina Bakhareva at the "IT in Industry" section will present the case of the implementation of the system for managing business processes of electronic documents in the MMK Group of Companies. ATACH was created in 2016 as an alternative to the market's difficult-to-perceive tabular electronic document management systems. From the experience of CMI, the use of such SED slowed down rather than accelerated the harmonization of documents. From MMK to the open market. A new player is ready to enter the SED field
The experience of successful development of corporate electronic document management systems is always of particular interest. Automation of routine business processes is a kind of indicator of changes in the business culture, simplification of the company's internal processes and effective interaction with counterparties. All the more remarkable are SED projects tested not by innovative technology companies, but by industrial giants with a traditional approach to work processes. Such an example was the SED, created for the Russian enterprise - PJSC Magnitogorsk Metallurgical Plant, which includes more than 60 societies.
History and prerequisites of ATACH SED
In 1999, MMK PJSC introduced an electronic document management system based on IBM products. This system made it possible to automate processes, but did not function quickly enough and was inconvenient for managers. Users had to understand the complex interface of the program and remember the order of actions that were intuitively impossible to perform. It was easier for top managers to assure paper documents submitted by the secretary, because it was only necessary to sign.
Despite the continuous refinement and improvement of the previous SED, by 2014 the programme was completely overtaken by events, and the issue of replacing the system arose.
The main factor that prompted the transition to a fundamentally different solution was the actual refusal of most middle and senior managers to work in the existing program. Top managers explained that they took from 3, and sometimes up to 8 hours a day to perform standard routine operations (approval, issuance of an order, signing).
The new SED had the following objectives:
- help the manager understand the program: be distinguished by a simple and understandable interface;
- allow to work remotely: be able to sign, agree documents in 1 click from any device and from anywhere in the world;
- Accelerate routine processes - Any operations should not exceed 1 second.
At that time, none of the existing systems on the market could meet the listed needs.
The idea of creating a convenient electronic document management system for the needs of industrial enterprises in the metallurgical industry arose in 2016, this year is considered the founding date of ATACH. It took 4 months to create the first basic version of the product.
The initial project for implementation and testing was implemented in the MMK Group of Companies, one of the first users of the system was MMK-Pravo LLC, MMK PJSC Financial Management. The implementation of the SED was gradual and seamless.
The team focused on implementing the idea of ease of working with documents. The first processes that were transferred to the system: incoming and outgoing correspondence, service notes, orders, then - contractual document management. Each new process was created at ATACH, the former SED was a repository of "old documents" until the final transition. It took up to a month to connect one large enterprise. The entire implementation project lasted 10 months, during which time more than 60 MMK Group enterprises and about 11,500 users connected to the ATACH system.
In 2020, ATACH was introduced in Krasvetmet OJSC, the world's largest producer of precious metals and products, and in Bobrovsky Quartzite LLC, an enterprise for the extraction and processing of quartz materials.
Uniqueness of ATACH
ATACH was one of the first to introduce the electronic document management system as a SPA-based web application that works equally on PCs, tablets and smartphones without installing a desktop version and a mobile application. The SPA - Single Page Application architecture on the Angular framework was chosen as the technology. One of the first to use it was Vkontakte and Facebook.
SPA solves the problem of high speed: when moving from one section to another, unlike sites, the whole code is not loaded, but only a specific module changes. This ensured the speed of user switching between tasks and the ability to access the SED from anywhere in the world. Thanks to the application of this technology stack, the system allows tens of thousands of employees of the company to work simultaneously.
ATACH presented a new look at premium product support. Despite the availability of technical support, the user can independently understand the system using hints and predictive recommendations for selecting negotiation routes or document templates. SED is a working tool that should be as fast as modern technology and modern lifestyle. For top managers of higher and middle-level companies, ATACH has demonstrated a revolutionary new approach to working with documents. Due to the most friendly and intuitive interface, the system serves as an assistant to the user in solving his problems. In ATACH, all the necessary information is in one window of the web application: on the left - orders or documents received to the head for approval, in the center - a document opened in the system without downloading, on the right - actions with it. Editing takes place online; the system also saves versions and allows you to compare them, as in a regular word editor, online.
The system notifies the user of new incoming documents or orders. All basic operations - creating a document, saving it, printing it, sending it by e-mail, creating notes for yourself or the performer and other actions are performed at the same touch. ATACH provides quick delegation and assignment of documents with further control of executive discipline, setting the deadline and withdrawal of tasks.
Smart Features
ATACH provides hints: the system itself determines the most likely performers for the task, offers a resolution and a deadline for execution, based on the "experience" of working with such tasks or documents.
To optimize the work of the office, ATACH as a modern electronic document management system provides the ability to download documents after streaming scanning and using bar coding.
Based on the analysis of the processes of working with standard documents of the organization, templates of various documents and their alignment routes can be created in the SED. New vectors of development
In 2020, the ATACH system was replenished with the Personnel EDO module and the possibility of cloud signing. Personnel EDO was implemented as part of a personnel experiment in accordance with Federal Law No. 122-FZ. In September 2020, the module was introduced in an IT company with 600 employees.
The Cloud Signing module is responsible for information protection. It allows you to sign documents with an enhanced qualified signature from tablets, smartphones and PCs through the mobile application MyDSS. ATACH is integrated with Crypto Pro and Loop Diadoc cryptoproviders.
Performance assessment
