2021: Implementation of HRlink
FIBA Retail has implemented the HRlink solution, an electronic HR workflow service. As a result of the project, the network's regional stores managed to reduce the time for signing documents by more than 90%, as well as significantly reduce the labor costs of sales staff and personnel service. This was announced on April 15, 2021 by HRlink.
FIBA is an international group of companies operating in April 2021 in 12 countries. In Russia, FIBA Retail franchise company operates stores of fashion retailers - Marks & Spencer, Gap and Banana Republic.
The project began in April 2020, when most of the holding's employees switched to remote operation. The company has converted several key personnel processes into electronic format at once: hiring, dismissal, transfer, processing of vacations and disciplinary sanctions. First of all, representative offices in the regions were automated - a total of 19 stores in 12 cities.
A significant result of the project was the acceleration of the signing of personnel documents throughout the network. Most of the company's staff are employees of stores who do not use corporate mail, so the exchange of documents took place through local directors or administrators. Previously, the document was formed in 1C and sent by e-mail to the store, where it was printed, signed by the employee and sent with a courier back to the head office - the whole process could take up to 2.5 weeks. After implementation, the registration of a new employee takes place day after day. The necessary documents are created in 1C, uploaded to HRlink, then the employee and his head of SMS receive a link through which, in the personal account of the service, documents are instantly signed using an enhanced unskilled electronic signature (UNEP).
{{quote'Retail specifics - a large amount of personnel documentation. New workers appear, employees often move from one store to another, change positions or employment mode. So, we annually receive about 1000 colleagues to the company, and also issue about 1,500 personnel transfers. Accelerating these processes is an important contribution to increasing the company's competitiveness not only in the HR sector, but throughout the market, "says Galina Galushko, Director of Human Resources at FIBA Retail. }}
The company also notes a reduction in employee labor costs. Now, employees of trading rooms do not need to come to the office, store directors have freed up the time that they spent on processing staff, and HR managers sign any number of documents in a couple of minutes. In addition, FIBA Retail plans to reduce the cost of courier deliveries to the regions.
The solution scales to all stores of the network and expands functionality - through HRlink, workers will issue income certificates and settlement sheets. The company also integrates the service with the corporate portal for interaction with each employee directly, which is difficult due to the geographical distance of outlets.
For large holdings with a distributed structure, it is especially important to establish direct communication with all employees. HRlink, in conjunction with corporate services, will become not only a reliable platform for document management, but also allow employees to form a holistic idea of the company, increase their loyalty and, as a result, strengthen the position of the HR brand, "comments Dmitry Makhlin, Director of Business Development HRlink. |
