2021: Connect to HRlink
On April 28, 2021, BFT announced that it had connected to HRlink, an electronic personnel document management service. The result is a multiple increase in the conversion of the hiring funnel, a fundamental acceleration of HR processes, a reduction in the cost of storing and transporting personnel documents within a geographically distributed holding.
In October 2020, the BFT began a project to transition to paperless personnel document management. Using the HRlink solution, the company completely abandoned paper copies in the processes of hiring, dismissal, personnel transfers and vacations. More than 1,000 staff across the country have switched to electronic signing of internal documents. This process was accelerated and simplified thanks to integration with the federal portal "Work in Russia" - BFT specialists use the ESIA signature.
Initially, the main goal of the project was to reduce current costs in the management of personnel records. The goal was achieved, while BFT management considers the main effect to be a multiple increase in the conversion of the funnel for hiring IT specialists. Previously, HR managers prepared documents, agreed on a convenient signing time in the office or forwarded them by mail, which took up to 3 weeks from the moment the candidate accepted the job offer. During this time, the risk remained that the candidate would accept a competitive offer. Now, documents formed in the personnel system are digitally transmitted to HRlink, a link to a smartphone and/or email is sent to the applicant or employee for signing with a simple electronic signature (PEP) linked to the State Services account.
{{quote 'There is fierce competition for IT specialists in the market, so we consider the main effect for ourselves that the speed of transferring and signing personnel documents has significantly affected the performance of recruiters - the number of refusals from already accepted job offers has decreased by 85%. Previously, a candidate, especially working at a remote location, before signing a set of paper documents on employment could still consider alternative proposals, now he immediately after consent receives a link for self-examination and signing. The process takes several minutes instead of 2-3 weeks when forwarding paper documents and 2 hours in the office. At the same time, it is very important that we rely on the distribution of ESIA electronic signatures carried out by the state, and all our personnel transactions are certified by an enhanced qualified signature by the Federal Service for Labor and Employment, which removes all controversial issues by their legal significance, "comments Svetlana Dobridnyuk, head of the BFT Personnel Management Department. }}
Another important result was the transparency of personnel processes - the movement on the hiring funnel is digitally recorded throughout the branch network (previously, statuses were assigned manually). Recruiters can quickly review documents for each applicant, monitor the progress of signing a set of documents and, if necessary, send additional notifications to the messenger and/or by email.
A good example of the effectiveness of this approach was the transfer of more than 500 employees from one legal entity to another as part of intercompany changes and the registration of 150 specialists who joined the company from January 2021. At the same time, physically, employees were in 23 regions of Russia and 90% of them worked from home.
The launch of the service reduced the financial costs of BFT due to a decrease in paper document circulation, consumables, spending on postal delivery and archival storage.
HRlink is a service with a clearly measurable economic effect. Each company can calculate how much it spends on paper personnel management and with the growth of the business, the numbers only increase. And although only the most progressive companies are using innovative solutions in this area, in the next 2 years, maintaining personnel document management in electronic form will become a mandatory attribute of any business with a staff of 500 employees, "says Dmitry Makhlin, director of business development at HRlink. |
