TSIAM named after P.I. Baranov automated the management of project contracts

2021: Automation of project contract management

"P.I. Baranov Central Institute of Aviation Motor Engineering" automated the management of design contracts with the help of "1C: ERP + PM Project Organization Management 2." This was announced by ITLand Group (IT Land-Soft) on May 24, 2021.

The main goal of the project for the implementation of the project contract management system in TSIAM was to automate the processes for the preparation, conclusion, execution (in terms of economic support), making changes and termination/termination (upon completion of work) of contracts executed by TSIAM on orders from other organizations.

As part of the TSIAM selection, ITLand (AyThLand-Soft LLC) was selected as the executor of the work.

During the implementation project, the following system functionality was launched:

• Maintenance of the register of projects (works), their characteristics and parameters;
• Accounting of project phases;
• Management of the "Foundation Documents" fixing the contract and pre-contract terms of the projects (RCM, Contracts, Supplementary Agreements, Dispute Protocols, Invoice Offers and any others);
• Managing the content of contractual terms and conditions for the Project Phases;
• Management of status of "Foundation Documents" and status of works according to Stages;
• Automation of calculation of the "Current Version" of contract terms and status of Project Stages;
• Recording of acts of works performed (income) on projects;
• Accounting of payments for projects;
• Workplaces for work with the "Basis Documents" structures on the projects and for work with the summary information on the project documents;
• Differentiation of user access rights to data in the system;
• Generation of various reports with data on projects/underlying documents.

The use of the project contract management system in CIAM made it possible to solve the following problems:

• Build a single information space for working with projects and related contractual and pre-contractual documents;
• Streamline business processes by contractual activity, introduce a control system for key events;
• Ensure that the system functionality can be developed for the purpose of automation of business processes for pre-contractual activities;
• Ensure that the functionality of the system can be developed in order to increase the number and quality of automated operations of project management and work on them;
• Reduce the labor costs of subdivisions to work with data on project contracts, their status, payments, work with acts and reporting;
• Improve the speed and quality of information exchange between departments;
• Build a system of reporting on executed projects and related contractual documents.

The system was put into industrial operation on March 12, 2021;

Number of system users: 70.

As part of the implementation project, ITLand performed the following activities:

• Sale of selected software products;
• Development of the system concept;
• Development of the Technical Specification for the system;
• Adaptation of the standard solution to the requirements of CIAM (including the development of private technical tasks and the revision of the software solution in accordance with them);
• System configuration;
• Training of CIAM employees to work in the system;
• Support of system users during pilot operation of the system.
