Automated system of planning, management and monitoring of projects

The portal solution of project management is an information environment which provides:

• to managers – timely providing reports and visualization of the course of the project in general;
• to users – the unified access to the information of the program and projects that gives the chance of convenient joint work.

Advantage of portal technology is that it allows to import and export data from the different systems and to represent them in a uniform format by means of the Web interface.

Solution

Specialists of Dev-House company created the portal solution which provides comprehensive task management and programs within the uniform integrated project management system. The interface, intuitive for the user, which is simple and convenient in work was developed for the organization of more effective work.

Also the interface offers a number of representations in which it is possible to see all project information. For example, the Chart Ganta represents the image of the schedule of tasks in the project which allows to visualize and control duration of these tasks.

Implementation of the portal will allow employees to organize work on management of all business – processes within project management, monitoring and control of accomplishment of the current tasks, the analysis and viewing analytical reports by efficiency indicators.

MAIN MODULES

The portal solution includes the following modules:

• Program management includes the following functions:

1. Создание and filling of all necessary attributes of a card of the program
2. Привязка to the program of indicators on which the efficiency of this program will be estimated. In a card of the program for the indicator the User can set a basic and planned indicator value by the necessary periods. Planned values are specified for the entire periods on which the indicator should gather. The planned indicator value can be set for different levels of collecting: at the level of the program, area, the signed agreement with the contractor. Having set the planned and basic value, the user upon completion of the program the user will have further an opportunity to trace a difference of the planned and reached value. Construct a trend of change of value of the indicator from the period by the period, create the report.
3. Управление reports on the program, report generation for global fund for the key indicators specified on a program card. Report generation according to the program is performed at the end of the period, after program termination. Values on indicators which are specified in a program card are stated in the report.
4. Управление tasks and subtasks within the program. Within task management accomplishment of functions, similar to the program, such as binding of the indicators characterizing efficiency of accomplishment of this task, report generation, representation of a task and connected with this problem of subtasks in the form of the Chart Ganta, contract management on a task and reports on each stage of the agreement by necessary indicators is performed.
5. Управление agreements. Contract management implies maintaining and storage of agreements. The card of the Agreement is a link between a card of the program and a card of a task. Register in attributes of a card of the agreement including resources which will perform works on accomplishment of this program. The user of a system has an opportunity to get to a card of the agreement both from a program Card, and from the Task Card.
6. Отчет on a stage of the agreement forms at the end of end of each separate stage of the agreement. Values on indicators which are specified in a card of the program and in a task card register in the report. The indicators characterizing efficiency of agreement performance gather from indicators which are registered in cards of tasks, subtasks, actions which are fully completed by the end of this stage.

При bindings of indicators to the report the user sets the frequency of calculation of the indicator and ties this calculation or to the whole period of a stage, or to a time line (weekly, once a month, quarterly etc.). It allows to receive exact indicator values without violation of a logic theory of their calculation.
8. Управление indicators. Control of indicators of efficiency of implementation is exercised at all levels – at the level of the program, a task, a subtask, an agreement stage. In a system there is a concept of a card of the indicator – on which all necessary information on the indicator, logic of its calculation and methodology of collecting registers. Further at an institution of a card of the program, a task, a subtask, or an agreement stage card the necessary indicator is selected from the reference book of indicators and becomes attached to a card.
