2023: Automation of the office, internal document management and organization of committee meetings

EDMS THESIS automated the office, internal document management and organization of committee meetings in Alpha Leasing"." The project was carried out by partner company Teamscore. The company Haulmont (Howlmont) announced this on August 10, 2023.

The main task was to automate the office, which was previously conducted in Excel tables and paper journals. However, hundreds of documents pass through the company every day, so it was decided to digitalize the office. In addition to this, it was decided to transfer to the EDMS familiarization with internal documents and the organization of committee meetings.

Project features:

• The team worked on a flexible methodology. The first stage of the implementation of the EDMS THESIS was completed in just 1.5 months, further development took place in parallel with operation. The tools built into the Low-code system for configuring business processes and other functionality helped to complete the project quickly - in just 7 months.
• Templates, traffic routes, and process participants are configured for different categories of incoming and outgoing documents.
• Using EDMS to send orders, orders, job descriptions for familiarization helped to exclude the possibility of getting into spam. It is also easier to set up internal document distribution groups.
• The possibility of holding meetings of committees both offline and online has been realized. This helped to ensure effective remote work during the coronavirus pandemic and after its end.
• EDMS THESIS is integrated with 1C: Payroll and management of the enterprise and the Elma system, which is used to interact with lessees.
• The mobile application helps managers to quickly coordinate documents.
• For fault tolerance, the system is deployed in a cluster of servers.
• The company uses Russian and free software: servers on Unix, DBMS on Postgres, OpenOffice.

All 1550 Alfa-Leasing employees use the ED THESIS in their work, at the peak 600 users are simultaneously connected. Each month, more than 3000 documents and more than 30 meetings are created in the EDMS.

ED THESIS helped Alfa-Leasing to increase the efficiency of clerks and secretaries, as well as to refuse to send paper documents between offices and related expenses. The transparency of all business processes in the EDMS made it possible to introduce KPI to control the work with documents.
