The company "Twelv" (representative office of the Dutch company XINDAO B.V. in the territory of the Russian Federation, Kazakhstan and Belarus) needed a new site with a convenient catalog and personal account.

Business Process Issue

Previously, the order was issued as follows: the dealer manager received an application, checked the availability of goods in the warehouse, checked the capabilities and cost of applying the logo, specified the delivery dates, exchanged invoices and closing documents with the supplier by mail. It was extremely difficult to quickly edit something, remove it or combine it into one order, but it's easy to get confused and lose something.

To reduce the process and get rid of chaos, it was decided to transfer this business process to a personal account on the site. It was supposed to display the history of orders with current status, balances in warehouses, production dates and stages of readiness, a payment schedule. It was also decided to transfer the entire document flow to a personal account. And for the heads of agency dealers, it became possible to analyze sales reports - including for each employee.

At the same time, the public part of the site reserved the role of an online showcase: to show the assortment, types and methods of branding souvenir products, but not to give the opportunity to make an order directly. This is a typical solution for a manufacturing company - full functionality becomes available after authorization.

Execution

  • Dealer's personal account:
    • The new personal account allowed one legal entity to start an unlimited number of accounts for their managers. This makes it possible for specialists not to waste time finding their orders among strangers and it is easier to control payment statuses. And their managers can thus monitor the activities of each employee.

  • Order Steps:

    • In the personal account interface, the manager can select products, create an order from different warehouses, reserve goods that are not already there, and immediately take into account changes in the waiting time of the order. All information about goods, warehouse balances and expected receipts is unloaded from 1C and automatically updated on the site.

  • Payment:

    • Dealer agencies work with XINDAO on a credit line - this is the available amount of trust credit that increases depending on the volume of orders. The agency can order and receive goods with a delay in paying the bill until 21 days. If payment is not received on the 22nd day, the opportunity to order for the account is blocked.

  • Manager Interface:

    • In the personal account of the head of the advertising distributor, the analyst for his company is reflected. Order statistics are also saved - information about which goods are bought by which customer. Data is stored and collected in dashboards.

Achieved result

  • XINDAO dealers save time.
  • Client managers get rid of routine actions: correspondence, calls, writing KP.
  • It is easy for managers to organize their work: a payment calendar, reservation of products, coordination of layouts.
  • Agency managers can quickly analyze performance through statistics and dashboards.
