2021: Mining Element Recruitment System

Project Task

The EM Art team has developed a single automated system for HR Mining Element specialists, where they can effectively manage recruitment processes in all regions of the company's presence, and also have a flexible system for building analytics.

Situation

Previously, the company used a specialized program for recruitment - functionally it arranged HR specialists, but was rarely updated and had difficulties with castomization and the English-language interface. Representatives of Mining Element decided to implement ATS (application tracking system, candidate management system) in order to transfer the capabilities of the program to the portal and finalize the solution to their needs.

Decision

The recruitment process is very reminiscent of sales mechanics: "managers" are HR specialists, "leaders" are candidates for a position, and closing a vacancy is a "deal." Em Si Art experts proposed the following solution: to use entities CRM Bitriks24 and develop a personnel selection system (ATS) based on it.

Pick Request

Division managers or HR department employees fill out a special form, after which the application goes to the HR director for approval.

The responsible employee receives a system notification of the new request instantly - in the portal or by e-mail (depending on the settings).

Once approved, the application is automatically converted to a portal vacancy. They are displayed as a standard list or in the Kanban view - on a virtual board with stickers-vacancies and status of their processing. Vacancies can be filtered by several parameters: department, hiring manager, responsible recruiter, processing stage, etc.

Search by Candidate Base

In the search process, the recruiter interacts with the candidate database, which stores the resumes and contact data of all potential applicants. To select, just enter the query in the search string - the system will immediately show the filtered data. The recruiter can replenish the base in several ways - create a candidate card manually (the system will check for doubles). He can also use automatic methods:

  • Collect candidate information on job search sites (hh.ru and linkedin.com) using the Chrome extension we developed.
  • Send the received resume file to a dedicated mailing address or upload to Bitrix.

The created candidate card displays not only all the data from the resume posted to the corresponding fields, but also the timeline of interactions - it is easy to understand when the first contact took place and at what stage the work with the candidate is.

Generating an Offer

The creation of candidate cards from files with a resume also works in reverse - developed, with the business process help of which all information from the card is converted into a document.

Recruitment and vacancy reports

Reports have been developed for the HR director to assess the effectiveness of recruiters - in general, by department and personally.

Results

It took about 6 months to implement the selection system, another took testing. Since the configuration of ATS is still ongoing, the results of the project have not yet been digitized, but the company's employees have already managed to positively assess the potential effectiveness of a full-fledged implementation of the system.

Mining Element continues to develop the project independently - further refinement of the functionality is carried out by internal specialists in Bitrix. The company plans to finalize the system and use it not only for recruitment, but also for adapting employees after employment.
