Specialists of 1C: Accounting and Trade company (BIT) completed the project of automation of operational management of trade and accounting of large diversified holding of AVIRSA. 250 jobs are automated. As a result costs for accomplishment by the staff of holding of standard accounting transactions are reduced by 30%. Effective control of receivables and payables is provided, there are no cash gaps. Speed of automatic formation of the consolidated statements on holding in general increased. Thanks to the modern platform "1C:Enterprise 8" performance of an information system increased, data for the analysis of sales taking into account bonus payments, the cost of credit resources and a payment deferral form twice quicker that allows to make quickly necessary decisions on transactions and to increase efficiency of trade operations.

Core activities of AVIRSA holding are wholesale also retail, production of electronics, system integration and logistics. Before implementation of a new information system in holding the configuration on the 1C: Enterprise 7.7 platform was used. In process of the company and diversification of business in holding five business units in the directions were created: "Distribution", Retail, Production, Projects and Logistics, the sales volume and number of staff considerably increased. These changes demanded implementation of a new information system, more productive, flexibly configured and scaled.

Main objectives of system implementation in AVIRSA holding were complex business process automation and creation of information and analytical providing for acceptance of management decisions. First of all attention was paid to automation of management accounting (merchandising, cash flow, cost accounting, settlement, etc.) and also regulation of processes of wholesale (purchases, sales, customer relations). Also automation of the new, developing directions of business was required: retail, assembly production of electronics and warehouse logistics.

For implementation of all project objectives as the basic software the 1C:Enterprise 8 platform was selected. Use of this platform allowed the company to minimize training costs and adaptation to the new system of the employees who had experience with the previous version of programs of 1C.

As the partner the specialists of 1C: Accounting and Trade company (BIT) who are highly qualified and experience of successful implementation of similar projects were invited. As it was required to automate first of all trade business processes, including trade on the Internet, as a basis for creation of an information system the solution "1C: Trade Management 8" was selected.

The following commercial sections and business processes were automated:

  • Purchase management;
  • Sales management;
  • Customer relationship management;
  • Internal merchandising;
  • Delivery to buyers;
  • Overhead accounting;
  • Accounting of bonuses of buyers and suppliers;
  • Self-produced automation at the level of accounting of orders and a complete set of products;
  • Commission schemes;
  • The system of the automated analysis of commercial indicators and their comparison with market situation for creation of forecasts (short and long-term).

Deployment and input of a system in commercial operation it was performed without stopping activity of divisions of holding. Forces of IT department of the customer organize process of maintenance of a system and working off of notes of users to which specialized software tools are provided for this purpose.

During the project multistage training of employees in work with a new information system is provided. Total number of the automated jobs was 250.

As a result of implementation of the unified information system it was succeeded to solve a number of important problems:

  • The analysis of cost value and profitability by business units of the company is automated thanks to what it was succeeded to provide a certain growth of profitability.
  • The convenience of the system interface to users increased. Specialized jobs – the automated workplace of the sales manager, to purchases and merchandising were created. The automated workplace interface is organized so that the user could "cover one look" all information volume necessary for it for work. So, for example, the sales manager, servicing the customer, can define at once whether is not present for the client of debt, to estimate possibilities of providing a discount (data on cost value, the prices of key competitors, etc. are available), to obtain information on existence of goods in the warehouse, similar goods expected in the nearest future receipts, etc. It allowed to increase significantly service quality and to reduce time for decision making.
  • Accounting of resales in holding by business units of the company is automated. Procurements are conducted on one or several business units, and sales of goods to the end buyer can be enabled from other business unit. Transfer of goods from one business unit of the company to another is performed on the set scheme of internal resales. As a result of implementation costs for accounting of purchases and resales in holding are reduced.
  • Accounting of bonuses of suppliers/buyers and expenses is implemented. Cost accounting and profitability became possible taking into account bonuses/expenses which it is possible to predict (preventive accounting) and also bonuses/expenses which cannot be predicted (the actual accounting). In a new system cost value is calculated quicker, distribution of bonus supplier payments, to buyers and other partners is conducted more correctly that allowed to increase loyalty of buyers and suppliers. Finance costs on this section are optimized, users obtain objective data for the purposes of management accounting.
  • Are reduced by 30-50% of a labor cost of employees for accomplishment of standard transactions that allowed the company to solve more effectively functional problems the smaller number of personnel.

Implementation of a new system allowed to receive convenient tools for operational accounting and control:

  • Formation of the daily reporting on receivables and payables, including about arrears and the reporting under the credits and factoring transactions. Automation allowed to begin systematic work with debtors and to eliminate risks of emergence of cash gaps.
  • Formation of daily sales reports taking into account bonuses of buyers and suppliers, costs of credit resources and a payment deferral helped to adjust control of transactions. A new system twice faster creates data for the analysis of sales.

Increase in informational content of a system has a positive impact on profitability of sales of the company (sales "in minus" are almost excluded), outflow of clients due to improvement of control of transactions, error analysis and the work directed to their warning further was reduced. By 2-3 times processing of orders by managers at the expense of the implemented mechanisms of analogs, interfaces, subsystems of merchandising, reservation, interaction with a warehouse management system and so forth accelerated.

Having estimated results of works, the CEO of AVIRSA holding Maslov Valery Valeryevich emphasized: "Implementation of a new information system on the 1C:Enterprise 8 platform not only provided convenient tools for operational management of trade and finance of the company, but also provided creation of information and analytical base for acceptance of management decisions and performance monitoring of all directions of business".

According to Kirill Vladimirovich Gusev, the project manager from 1C: Accounting and Trade company (BIT): "Despite a large number of the users who are at the same time working in a system the opportunity in real time to create lot-based cost of sales taking into account non-standard overhead allocation, bonuses of suppliers and buyers, the adjusting transactions without significant performance penalty is given. on-line data exchange with the warehouse systems, management systems retail is implemented and Internet sales, automate the analysis of cost value and profitability by business units of the company.
