2021: Implementation of Docsvision SED

LLC SSHH was chosen by the concessionaire of the Northern Latitudinal Railway project in 2018. The project aims to develop transport links in the Yamalo-Nenets Autonomous Okrug and increase the level of logistics. This was announced on September 27, 2021 by Docsvision.

In order to accelerate work within the organization and quickly exchange legally significant documents with counterparties during remote work, the management of the Northern Latitudinal Course project decided to digitize the paperwork processes and implement the corresponding IT system. The SED should solve problems with the prompt processing of incoming correspondence, including monitoring the implementation of the resolution issued by the head, support for legally significant document flow. To implement the required functions on the basis of the Docsvision platform, the management of LLC SSHH turned to the specialists of Smart-Docs, who already had extensive experience in building systems of this class in various organizations.

During the implementation of the system, specialists from Smart-Docs set up work with incoming correspondence. The managers of "SHX" received a tool for addressing tasks and monitoring the timing of their execution. The preparation of response letters to requests from higher organizations has also accelerated - the outbound document file is automatically generated in the system on the organization form, agreed on a configured route, and then signed with an electronic digital signature and can be sent through Diadok.

As a result of the integration of the internal BED with the external operator Diadok, the exchange of legally significant documents was fully implemented in SHS, which additionally speeds up work and minimizes costs for similar paper processes. In addition, it became possible to work remotely, from any browser, from any device with Internet access.

In addition, the implemented SED based on the Docsvision platform automatically determines the alignment routes of internal documents: orders and orders, service notes. And also monitors the fact of familiarization of employees with organizational and administrative documents.

The company's divisions also received a regulatory interaction tool. The introduction of a mechanism for working with service notes made it possible to make the processes of coordination, evaluation of the result, monitoring the execution of the order remotely transparent. Additionally, so that the work does not pause, the SED supports the functions of substitution and delegation.

Results

1. The organization converted the document flow into electronic form, retaining legal significance and ensuring transparency of processes and remote access of employees to information.
