2021: Transforming Employee Onboarding

On November 10, 2021, TalentTech (Severgroup TT) announced that Danfoss, a Danish manufacturer of energy-saving equipment, transformed the onboarding process of employees using the HCM platform module TalentTech Adaptation. The company managed to reduce the period of passage of the main elements of the adaptation process by 30%, save the time of managers and HR specialists, increase employee engagement and strengthen the company's HR brand.

TalentTech developed a special adaptation track for Danfoss tasks for the company, as well as castomized the interface, added game and competitive elements. The employee at the preboarding stage gets acquainted with the company, passes the levels - for studying each of the seven levels he earns points and fights for positions in the ranking. Given that Danfoss has remote employees, a special level has been created for them with useful tips, check lists and software tools.

The burden on HR managers has decreased: the employee's acquaintance with the company, its corporate culture and the study of internal regulations takes place inside the application.

The feedback collection process is established: at all the main stages of adaptation, the employee passes surveys and gives feedback, answers to questions come to managers and HR by notification to the mail.

Managers and HR save onboarding time, while fully controlling the process of introducing each employee: the status of tasks is visible in real time.

With the help of the application, TalentTech was able to accelerate and increase the efficiency of the adaptation process, which positively affected the company's HR brand. A transparent and logical adaptation system is an important element of working with employees, especially for large enterprises and remote teams. With the help of an easy-to-use gamified application, we create an understandable onboarding path for an employee even before his first working day, collect feedback at each stage, and also give us the opportunity to quickly contact the head and HR manager, including at personal meetings, "said Maria Maslova, head of the methodology and content department of the HCM platform TalentTech.

All text and media content was developed based on the company's requests and placed in a personal account inside the application. The application is also integrated with internal Danfoss systems. Managers, HR, and mentors receive newcomers' questions, exit date reminders, and notifications if an employee has not received an induction plan or work technician.

During the adaptation, the employee goes through the preboarding and onboarding stage inside the application. The stages are divided into levels.

  • The first stage - preboarding - includes 2 levels:
    • Level 1 - introduction to the application;
    • Level 2 - study of remote operation regulations and rules.

  • The second main stage - onboarding - consists of five levels:
  • Level 3 - information on the process of adaptation and employment: documents, briefing, excursion, meeting with the head;
  • Level 4 - familiarization with communication channels, induction plan and probationary goals;
  • Level 5 - welcome training, online training in LMS, summing up the first month;
  • Level 6 - collection of feedback on adaptation progress;
  • Level 7 - summing up the trial period: setting quarterly and annual goals, drawing up an individual development plan and feedback on the adaptation process.
