Grow Food, a healthy food delivery service, automated personnel management using the HRlink platform. This was announced by HRlink (Innovations in Personnel Management) on December 26, 2021. Now company employees throughout Russia can sign personnel documents in several clicks from a smartphone.
In March 2020, 80% of Grow Food employees switched to remote and hybrid operation, with the exception of manufacturing and a distribution center. At the same time, the geography of the business was rapidly expanding. This significantly increased the burden on the personnel department of the company, which had to draw up and send paper documents to various regions of the country.
The company spent about 7,500 rubles a year on courier delivery of the main personnel records. If you add to this the mandatory processing of unscheduled trips and vacations at your own expense, the costs were even higher. The need to speed up paperwork turned out to be the last argument in favor of finding a solution for abandoning paper-based paperwork.
At the first stage of the project, Grow Food connected 250 of more than a thousand employees to the HRlink service. In the figure, they began to issue applications for vacations and all documents related to hiring and dismissal, with the exception of a safety briefing and a dismissal order. As of December 2021, Grow Food employees can sign more than 10 types of documents online using an electronic digital signature (EDS) or a State Service ESIA account .
We have a young team - most of the employees of Grow Food are not 30 years old. This greatly simplifies the process of transition to the figure: workers are well versed in technology and are interested in minimizing routine tasks. Moreover, many of them perceive the receipt and signing of documents as an element of gamification. Thanks to the automation of personnel records, the company managed to significantly accelerate the processes in personnel records. For example, receiving a remote worker now takes no more than 40 minutes, from the moment you connect to the service and create a personal account to signing all the necessary documents. This allows Grow Food to hire more employees in regions where there are many talented specialists and managers.
In the future, the company plans to transfer all employees of the Grow Food office, as well as couriers, to HRlink.
Gradually, a new generation of employees enters the labor market, for whom paper is a relic of the past. It is important for them that administrative tasks are solved quickly and with minimal participation on their part. Companies understand this and increasingly give priority to paperless office work. Moreover, business fears about personnel electronic document management are decreasing.
