The network petrotrader, Aspek company, completed the project of complex automation based on the 1C: Manufacturing Enterprise Management 8 system. The project was executed by Balance-Service company.
For ensuring full-fledged management of all business processes of holding the end-to-end system of automation of accounting allowing to unify accounting, tax, management accounting of the central office and the regional enterprises in a common information space was required. It was necessary to provide operational management of the regional enterprises, obtaining the consolidated statements, efficiency evaluation of work both holding in general, and each enterprise separately.
At the first stage of the project preproject examination was conducted. The description of the concept of future system and technical specifications in which were recorded functionality of a system, the budget and terms of the project was as a result created. Implementation was broken into five stages corresponding to problems of automation: accounting of petrotrading transactions, accounting and tax accounting, accounting of regional sales, budgeting, replication of a system at 8 regional enterprises. Step-by-step implementation allowed to reduce substantially project risks, in advance to plan the budget and terms, to quickly receive notable results.
The project of automation integrated ASPEK head enterprise and eight regional enterprises in a common information space: ASPEK-Volgograd, ASPEK-Kazan, ASPEK-Samara, ASPEK-Severozapadnefteprodukt, ASPEK-Smolensk", ASPEK-Tver, ASPEK-Ufa, ASPEK-Chelyabinsk. 77 jobs are automated.
The following subsystems are brought into commercial operation:
- order management of buyers,
- purchase management,
- inventory management,
- sales management,
- supply chain management,
- accounting,
- tax accounting,
- payroll calculation,
- personnel management,
- cash management,
- budgeting,
- sales planning,
- purchase planning.
In standard functionality of a system new features which expanded a scope of the software product and allowed to bring closer as much as possible an operating procedure with the program to specifics of business processes of the petrotrader are added.
As a result of implementation:
- all processes connected with purchase, transportation and implementation of oil products that allowed to estimate efficiency of each transaction are automated. The program allows to consider all costs connected with transactions including transportation costs, costs on storage, costs on return of tank cars, expenses on derivations of money. All these costs are distributed on the corresponding transaction, the corresponding shipment. Thus, it is possible to receive assessment of a financial result of the specific transaction on all cuts interesting the management and at an opportunity to reduce costs for carrying out the following transactions that allows to optimize business process and to get the maximum profit;
- the full stroke of cash management from planned budgets of cash flow before the actual execution of payments in a system "Bank Client" is automated;
- thanks to automation of accounting of waybills, motor transport, buses, accumulators there was an opportunity to plan and control costs for fuel and lubricants, replacement of auto parts, buses, accumulators;
- several times the speed of obtaining reports increased; first, thanks to the fact that data are in one base now, and secondly, thanks to universal mechanisms of the data layout scheme, allowing to receive very quickly different options of settings of any reports;
- double entry of information is excluded; labor productivity increased; automation allowed to lower labor costs on processing of primary documents;
- the access isolation subsystem to a system allowing to configure flexibly settings of access for users to data of a system is implemented;
- within work with receivables the subsystem of calculation and preparation of claims is implemented thanks to what the speed of preparation of claim documents increased;
- the system of motivation of managers according to corporate regulations on awarding is implemented;
- uniform standards of conducting accounting and tax accounting (uniform account policy, unified plan of accounts, uniform analytical reference books) are developed and implemented; the centralized system with uniform normative and help base for all enterprises of holding excludes duplication of information, increases its reliability;
- conducting accounting and tax accounting according to requirements of the Russian legislation and corporate account policy is automated; including accounting according to the Accounting regulation "Accounting of Calculations for PBU 18/02 Income Tax";
- the set-up time of the regulated reporting decreased twice;
- the set-up time of the consolidated statements decreased by 4 times.
The new automation system allows the enterprise:
- it is effective to manage receivables, to quickly reveal arrears, to control each debtor proceeding from conditions of contractual relations;
- plan cash flow, control their use;
- exercise control of the expenses connected with petrotrading transactions: transportation costs, services in return of tank cars, services in storage, derivation of money;
- control of expenses of the enterprise allows to reveal cost items at the expense of which the enterprise can save;
- apply the system of assessment of different indicators (the order fulfillment term, arrears, etc.) used for motivation of personnel that in turn allows to increase efficiency of work.
